Overview
Our client is looking for a highly organized, proactive, and dependable Executive Assistant to provide blended personal and business support to two executives. In this role, you will manage complex calendars, handle administrative paperwork, and oversee both incoming and outgoing communications. We are seeking a resourceful professional who can take full ownership of tasks, resolve issues independently, and follow through persistently on all outstanding requests. As you gain familiarity with executive preferences, you will operate with minimal supervision, driving efficiency across daily business and personal operations.
Schedule
Full Time | 40 hours per week | 8AM-5PM Eastern Time
Responsibilities
1. Executive & Administrative Support
- Manage and coordinate personal and business calendars, appointments, and meetings.
- Schedule and coordinate calls, meetings, appointments, and other commitments.
- Complete and organize administrative paperwork, forms, and documentation.
- Monitor and manage incoming requests, tasks, and follow-ups.
- Maintain organized records and ensure important information is easily accessible.
- Assist with various personal and business administrative tasks as needed.
2. Communication & Coordination
- Answer incoming calls through a designated Google Voice number.
- Respond to texts and messages in a timely and professional manner.
- Make phone calls on behalf of the executives to resolve issues, obtain information, schedule services, and follow up on requests.
- Communicate with vendors, service providers, businesses, and other external contacts.
- Follow up persistently on outstanding requests until they are resolved.
- Escalate issues to the appropriate person when necessary.
3. Task & Problem-Solving Support
- Research solutions to administrative, personal, and business-related requests.
- Take ownership of assigned tasks from start to completion.
- Track outstanding items and proactively follow up to ensure nothing is overlooked.
- Identify opportunities to simplify recurring processes and improve efficiency.
- Gradually take on more responsibilities as familiarity with the executives' work and preferences develops.
Requirements
- Excellent written and verbal English communication skills.
- Clear and professional English speaking ability, particularly for phone conversations.
- Strong organizational and time-management skills.
- Highly dependable and responsive.
- Comfortable handling both personal and confidential business information.
- Strong follow-up skills and persistence in resolving outstanding matters.
- Resourceful and capable of finding solutions independently.
- Ability to manage multiple tasks and shifting priorities.
- Comfortable making and receiving phone calls on behalf of an executive.
- Strong attention to detail.
- Ability to learn new systems, processes, and preferences quickly.
- Comfortable working independently with minimal supervision.
Preferred Qualifications:
- Previous experience as an Executive Assistant, Personal Assistant, Virtual Assistant, Administrative Assistant, or similar role.
- Experience supporting executives, business owners, or senior professionals.
- Experience managing calendars and scheduling across multiple individuals.
- Experience handling phone-based administrative tasks and external communications.
- Familiarity with Google Workspace, Google Voice, and common productivity tools.
- Experience handling both personal and business administrative responsibilities.
