Job Overview:
Our client is seeking an Executive Assistant to support the Executive Director by proactively managing administrative operations, scheduling, and strategic workflows. This role serves to expand executive capacity through efficient communication management, calendar organization, and system optimization. The ideal candidate brings strong organizational skills, discretion, and the ability to operate independently in a fast-paced environment. Experience in political advocacy is a plus.
Schedule: Monday to Friday, 9:00 AM - 6:00 PM CST
Responsibilities:
Executive and Administrative Support:
- Manage the Executive Director's calendar: meetings, professional and personal appointments, and travel. Includes coordinating the family calendar.
- Book and maintain travel itineraries with complete detail — flight numbers, confirmations, rewards accounts, times, and luggage.
- Prepare and edit correspondence, reports, and presentations.
- Screen and prioritize incoming email, calls, and messages.
- Draft communications on behalf of the Executive Director and the organization.
- Submit expense reports on time.
- Handle confidential information with discretion.
Operations and Systems:
- Build and maintain workflows, standard operating procedures, and organizational FAQs.
- Own the organizational calendar and the master task list. Keep both current and distributed.
- Maintain HubSpot records in coordination with the team.
- Organize digital files, records, and multiple email accounts.
- Handle check entry and end-of-year tax donation letters.
- Respond to member inquiries and route what needs the Executive Director's attention.
Meetings and Board Support:
- Schedule meetings, prepare agendas, take minutes, and track action items to completion.
- Prepare briefing materials for meetings: name, photo, background, social accounts, prior history.
- Schedule board meetings. Record, distribute, and file minutes. Send to the bookkeeper for record-keeping.
- Serve as the point of contact for meeting logistics, internal and external.
- Schedule weekly virtual office hours and maintain the member scheduling system.
Legislative Support:
- Maintain the elected official database and the legislation database.
- Run bill tracking and alerts. Learn Texas Legislature Online.
- Capture dates and timestamps for testimony.
- Assist in drafting correspondence to legislators and other elected officials.
Fundraising and Event Support:
- Support donor management: bios, meeting scheduling, follow-up, and reporting.
- Produce the weekly fundraising report — calls, texts, meetings, call time, funds raised.
- Support gala and event planning: invite and RSVP lists, ticket counts, run of show, vendor details.
- Coordinate grassroots club scheduling, guests, and content.
Digital and Relationship Support:
- Keep digital projects visible and moving to timely approval.
- Coordinate with the digital team to keep communication flowing.
- Maintain the follow-up and thank-you card system.
- Support relationships with elected officials, allied organizations, members, and stakeholders.
Personal Support:
- Maintain the list of family medical providers, service coordinators, and therapists.
- Schedule appointments and follow-ups.
- Maintain a top-fifty list of birthdays and anniversaries.
- Approve EVV timesheets for caregiving staff by noon every Monday and submit transportation hours.
- Confirm the caregiving schedule monthly and weekly, especially around travel.
Requirements:
- Proven experience as an executive assistant or in a comparable senior administrative role.
- Demonstrated ability to use AI tools to produce usable, accurate work.
- Strong working knowledge of Google Workspace.
- Experience with a CRM (HubSpot preferred) and a task management platform.
- Comfort with automation tools (e.g., Zapier) or clear evidence of learning new technology quickly.
- Excellent organization, prioritization, and time management skills.
- Strong written and verbal communication skills.
- Ability to work independently, report status without prompting, and solve problems with minimal supervision.
- Ability to work well with multiple strong personalities and accept direct feedback.
- High professionalism and strict confidentiality.
- Willingness and commitment to learn public policy.
- Experience in political advocacy is preferred.
