Overview:
Our client is seeking an organised and proactive Event Operations & Logistics Coordinator to manage end-to-end event logistics, including project plans, suppliers, venues, permits, budgets, and operational requirements. The successful candidate will coordinate staff, contractors, volunteers, accommodation, catering, event-day logistics, and bump-in/bump-out activities while ensuring all documentation and compliance requirements are maintained. This role will also oversee event administration, supplier invoices, communications, and post-event wrap-up to ensure all tasks, issues, and outstanding requirements are successfully closed.
Schedule: Flexible during client's business hours / 9:00 AM to 1:00 PM AEST | Part-Time Role
Responsibilities:
- Maintain the master event project plan and deadlines
- Coordinate venues, suppliers and contractors
- Obtain/compare quotes and prepare event run sheets and schedules
- Book infrastructure including toilets, showers, waste, power, fencing, security, medical etc.
- Manage permits, council requirements and event documentation
- Maintain event risk, compliance and operational documents
- Coordinate volunteer requirements, rosters, staff, and event-day logistics
- Manage accommodation and catering requirements
- Coordinate bump-in/bump-out and maintain supplier contact databases
- Track event expenditure against budgets and manage general event inbox/admin
- Check and organise supplier invoices for payment/bookkeeping
- Chase outstanding information, quotes, documents and approvals
- Assist with attendee communications where operational information is required
- Conduct post-event wrap-up and ensure outstanding tasks/invoices/issues are closed
Requirements:
- Proven experience coordinating events, projects, or operations, with strong attention to timelines and deadlines
- Strong supplier and contractor coordination skills, including sourcing, comparing quotes, bookings, and managing relationships
- Experience handling event logistics, including infrastructure, venues, accommodation, catering, security, medical services, and event-day requirements
- Knowledge of permits, council requirements, risk management, compliance, and maintaining accurate event documentation
- Advanced proficiency in Microsoft Excel to enhance data management
- Strong administrative and financial coordination skills, including budget tracking, supplier invoices, databases, approvals, and event correspondence
- Highly organised and proactive, with the ability to coordinate staff and volunteers, prepare schedules and run sheets, manage bump-in/bump-out, and ensure post-event tasks are fully closed out
