Executive Assistant (Luxury Travel Logistics)

We're looking for an operational backbone for their luxury travel team to translate emails, vendor confirmations, and client requests into flawless itineraries. This role requires critical thinking, connecting the dots across complex logistics, and ensuring every hotel, flight, transfer, and experience aligns perfectly with the client's journey. You will anticipate problems before they happen and directly impact client satisfaction on six-figure travel experiences.

Client Overview

Our client is a luxury travel company based in Boston, serving high-net-worth clients with custom itineraries and white-glove service. With a small, dedicated team and 20 years in business, they specialize in creating seamless, detail-perfect travel experiences for discerning clients investing upwards of $300,000 per trip. They use specialized itinerary planning software to deliver world-class service.

Schedule: Monday - Friday, 9:00 AM - 6:00 PM EST, with 1 hour unpaid break (40 work hours per week)

Responsibilities

  • Load detailed travel information into the Axus itinerary planning platform with absolute accuracy
  • Review and cross-check all itinerary details including hotels, flights, transfers, dining reservations, and experiences
  • Receive and process emails from the entire team regarding flights, hotels, day-by-day itineraries, and luxury experiences
  • Identify and flag logistical inconsistencies such as timing conflicts, geographic mismatches, or unrealistic travel windows
  • Ensure all client-facing deliverables reflect luxury standards and operational precision
  • Manage multiple concurrent itineraries and scheduling tasks without losing track of critical details
  • Proactively communicate concerns or discrepancies rather than waiting for direction
  • Maintain up-to-date contact information and logistics for drivers, vendors, and service providers

Requirements

  • Executive Assistant experience, ideally supporting a CEO or senior executive at a large corporation
  • Proven ability to manage multiple high-stakes tasks simultaneously with extreme attention to detail
  • Demonstrated experience in logistics, operations, or travel coordination
  • Strong critical thinking skills and ability to identify errors or inconsistencies proactively
  • Familiarity with luxury hospitality concepts and high-end client service expectations

Nice to have:

  • Direct experience working in the travel industry is a bonus
  • Experience using itinerary planning software or CRM platforms in previous roles
  • Experience supporting multiple team members or stakeholders in a fast-paced environment
