Senior Accounts Officer – Xero, AR, Australian Accounting

Our client is seeking an exceptional Senior Accounts Officer to drive end-to-end Accounts Receivable, bank reconciliations, and payroll using Xero. In this remote role, you will maintain precise accounting records, prepare key Excel schedules, and support month-end financial reporting. Ideal candidates bring background experience in education, immigration, travel, or professional services, along with proven expertise serving international clients. Spanish-speaking ability and a strong grasp of Australian business and accounting practices will set you apart in delivering timely, accurate financial operations. Schedule:

Monday - Friday, 7:00 AM - 4:00 PM AEST, with 1 hour unpaid break (40 work hours per week)

Responsibilities:

Accounts Receivable

  • Manage day-to-day Accounts Receivable activities.
  • Prepare and issue customer invoices accurately and on time.
  • Monitor outstanding receivables and follow up on overdue accounts.
  • Allocate customer payments and receipts accurately.
  • Investigate and resolve discrepancies relating to customer accounts.
  • Maintain accurate customer account records.
  • Assist with regular accounts receivable reporting and ageing analysis.

Bank and Account Reconciliations

  • Perform regular bank reconciliations and ensure transactions are accurately recorded.
  • Reconcile general ledger accounts and investigate discrepancies.
  • Identify, investigate, and resolve reconciling items promptly.
  • Maintain supporting documentation for reconciliations.
  • Assist with month-end financial close activities.

End-to-End Payroll

  • Process end-to-end payroll accurately and to deadline each pay cycle.
  • Collect, check, and process weekly timesheets for permanent and casual staff.
  • Follow up missing, late, or incomplete timesheets with staff and managers before cut-off.
  • Verify hours, overtime, allowances, penalties, and deductions before processing.
  • Calculate and apply correct pay rates for permanent, part-time, and casual staff.
  • Process new starters, terminations, and final pays including leave payouts.
  • Maintain employee payroll records, banking details, and tax declarations.
  • Verify changes to employee banking details before processing.
  • Calculate and process leave accruals, entitlements, and leave balances.
  • Prepare and distribute payslips and respond to payroll queries from staff.
  • Process superannuation contributions and ensure payment by due dates.
  • Calculate and report PAYG withholding.
  • Complete Single Touch Payroll lodgement each pay run and end-of-year finalisation.
  • Perform payroll reconciliations, including wages, superannuation, and PAYG control accounts.
  • Ensure payroll transactions are correctly recorded in the accounting system.
  • Prepare payroll reporting and payroll cost analysis as required.
  • Maintain payroll records in line with record-keeping obligations.
  • Maintain strict confidentiality of payroll and employee information.

General Accounting

  • Prepare and post accounting entries and journals as required.
  • Assist with month-end and year-end accounting processes.
  • Maintain accurate and up-to-date financial records.
  • Support the preparation of financial reports and management reports.
  • Assist with audit and compliance requirements when required.
  • Perform general accounting and administrative tasks as directed by management.

Xero and Excel

  • Maintain accurate accounting records using Xero.
  • Process and review financial transactions within Xero.
  • Use Microsoft Excel to analyse, reconcile, and report financial information.
  • Prepare spreadsheets, financial schedules, and reconciliation reports.
  • Maintain organised and accurate electronic financial records.

Requirements:

Essential Requirements:

  • At least 3 years of relevant accounting experience.
  • Demonstrated experience in Accounts Receivable.
  • Practical experience with payroll processing and payroll reconciliations.
  • Strong experience performing bank and account reconciliations.
  • Hands-on experience using Xero.
  • Strong working knowledge of Microsoft Excel.
  • Excellent written and verbal English communication skills.
  • Strong attention to detail and numerical accuracy.
  • Excellent organisational and time-management skills.
  • The ability to work independently and manage competing priorities.
  • A high level of reliability, accountability, and professionalism.
  • Willingness and ability to work 7:00 AM – 4:00 PM AEST consistently.
  • A positive attitude and willingness to learn.

Desirable Requirements:

  • Experience working in an immigration or education environment.
  • Experience in the travel or professional services industry.
  • Experience dealing with international customers or clients.
  • Spanish-speaking ability.
  • Experience working with Australian businesses and accounting processes.
  • Familiarity with Australian payroll and accounting practices.
  • Experience supporting month-end financial reporting.

Qualifications:

  • A postgraduate qualification in accounting, finance, or a related discipline.

Key Relationships:

  • Internal: Director, Finance / Management Team, Operations Team, Administration Team, All Employees (payroll matters)
  • External: Clients, Suppliers, Students, Casual Staff

Performance Expectations:

  • Maintain accurate and up-to-date financial records.
  • Complete bank and account reconciliations accurately and within deadlines.
  • Keep Accounts Receivable records current and follow up outstanding balances appropriately.
  • Support accurate and timely payroll processing.
  • Maintain clean and organised Xero records.
  • Produce accurate Excel reports and financial schedules.
  • Identify and resolve discrepancies proactively.
  • Meet deadlines consistently.
  • Communicate clearly and professionally with internal and external stakeholders.
  • Demonstrate reliability and take ownership of assigned responsibilities.

Work Conditions:

  • Availability by phone, email, and video conference during working hours.
  • Additional hours may be required around pay runs, month-end, and end of financial year.
