Job Overview
We are seeking a Physician Liaison and Referral Outreach Coordinator to build and strengthen relationships with local healthcare providers. In this part-time role, you will perform high-volume outbound calling to introduce our specialty practice, compile referring provider databases, and execute systematic follow-ups. You will also track referral sources, manage CRM data, and help generate new patient leads. This remote position is ideal for an organized professional skilled in medical office outreach and healthcare relationship management.
Schedule: Mon-Fri, flexible within client business hours PST (20 hrs per week)
Responsibilities
Referral Database Development
- Research and compile a database of approximately 200 potential referring providers and medical offices.
- Identify primary care physicians, endocrinologists, urgent care centers, physical therapists, chiropractors, senior care organizations, and other relevant referral partners.
- Verify provider names, specialties, phone numbers, fax numbers, email addresses, office locations, and key staff contacts.
- Clean, organize, and maintain referral source information in Google Sheets, GoHighLevel, and other approved systems.
- Remove duplicate, outdated, or inaccurate records.
- Physician and Medical Office Outreach
- Make professional outbound calls to medical offices to introduce our healthcare practice.
- Speak with referral coordinators, office managers, medical assistants, providers, and other appropriate contacts.
- Explain the conditions we treat, our locations, appointment availability, referral process, and services offered.
- Identify the correct person responsible for managing outside referrals.
- Send approved educational materials, referral forms, provider information, and follow-up communications.
- Schedule introductory calls, office visits, lunch meetings, or provider presentations for the physician liaison or leadership team.
- Conduct consistent follow-up without becoming overly aggressive or unprofessional.
Referral Relationship Management
- Maintain regular communication with existing and potential referral partners.
- Confirm that offices have the correct referral forms, fax numbers, contact information, and scheduling instructions.
- Help resolve basic referral communication issues between our office and referring offices.
- Thank referral sources and maintain professional relationships over time.
- Identify inactive or declining referral relationships that may require follow-up.
- Document conversations, next steps, concerns, and opportunities within the CRM.
Referral Tracking and Reporting
- Track outreach calls, conversations, follow-ups, appointments, and new referral relationships.
- Monitor which providers and offices are sending referrals.
- Assist with matching incoming referrals to the correct referral source.
- Prepare weekly reports showing outreach activity, appointments scheduled, referral opportunities, and referrals generated.
- Identify patterns and recommend ways to improve the referral outreach process.
- Maintain accurate records so leadership can measure the return on the referral development program.
Administrative Support
- Manage email, phone, fax, and CRM communications related to provider outreach.
- Assist with preparing referral packets, educational materials, and provider presentations.
- Coordinate calendars for provider meetings and office visits.
- Follow established scripts, workflows, and follow-up schedules.
- Protect patient and provider information and follow all HIPAA and confidentiality requirements.
- Perform other referral development and administrative duties as assigned.
Must-Have Requirements
- Strong spoken and written English communication skills.
- Professional and confident phone presence.
- Comfortable making a high volume of outbound calls.
- Strong organizational skills and attention to detail.
- Ability to follow scripts while communicating naturally.
- Ability to track conversations, tasks, and follow-up dates accurately.
- Experience using Google Sheets, Microsoft Excel, or similar software.
- Comfortable learning GoHighLevel, eClinicalWorks, and other healthcare software.
- High school diploma or equivalent.
Nice-to-Have Requirements
- Previous experience in physician outreach, healthcare sales, referral coordination, medical administration, or business development.
- Has at least 2 years experience as as Physician Liason working for US healthcare accounts
- Experience communicating with medical practices and healthcare providers.
- Familiarity with medical terminology and insurance referral processes.
- Experience using a CRM to manage outreach and follow-up.
