Overview
Our client is looking for a Tourism Operations Assistant to play a central role in managing day-to-day tour logistics, reservation systems, and guest communications. In this position, you will ensure seamless operations by coordinating drivers and guides, maintaining system accuracy in FareHarbor, and reconciling billing discrepancies. Schedule:
- Full-Time (40 hrs/week) | Atlantic Time
- Sunday – Wednesday: 1:00 PM – 8:00 PM
- Thursday: 1:00 PM – 5:00 PM
- Saturday: 1:00 PM – 9:00 PM
- Friday: OFF
Responsibilities
- Manage and respond to high-volume cruise ship emails, confirming tour bookings and updating guest counts in the reservation system
- Update and maintain reservation records in FareHarbor, ensuring accuracy of tour times, guest numbers, and booking details
- Reconcile cruise ship invoices against signed liability waivers to identify and resolve billing discrepancies and prevent revenue loss
- Coordinate taxi drivers and tour guides by preparing scheduling reports, assigning drivers to tours, and communicating logistics
- Send pre-tour confirmation messages to guests and drivers the night before to ensure smooth day-of operations
- Log and process incident reports by entering guest details, tour information, and first aid records into the appropriate system
- Manage the owner's email inbox, triaging important communications and responding to routine inquiries
- Support staff scheduling by reviewing auto-populated schedules in Papershift and assisting with staff assignments
- Prepare and format daily taxi printout reports with color coding and driver assignments for distribution
- Handle inbound and outbound phone calls via the Quo phone system, assisting guests and coordinating with drivers in real time
- Communicate across teams via WhatsApp groups to monitor invoices, share updates, and ensure operational alignment
- Provide operational continuity across the business, serving as the central point of coordination between the general manager, store staff, and field teams
Requirements
- 2–5 years of experience in an administrative, operations, or virtual assistant role
- Strong spoken and written English with a warm, professional, and friendly communication style
- Proficiency in spreadsheet tools including data entry, color coding, sorting, and basic formatting
- Exceptional attention to detail with a natural ability to catch discrepancies and errors
- Comfortable learning and navigating new software platforms with minimal supervision
- Calm under pressure with the ability to manage multiple tasks and shifting priorities simultaneously
