Conveyancing Subject Matter Expert

Job Overview

Our client is looking for an experienced Conveyancing Subject Matter Expert to join their team and become the go-to expert for Australian conveyancing and settlements.

This is a unique opportunity for someone with extensive hands-on experience in Australian conveyancing who can not only manage settlements from start to finish, but also teach and train Virtual Assistants (VAs), document processes, create SOPs, identify opportunities for automation, and work closely with product and development teams to build software that improves the conveyancing process.

The ideal candidate will be able to take a client instruction containing basic information such as the property address and client/contact details, understand what needs to happen, coordinate the required steps, communicate with the relevant parties, manage the settlement process through to completion, and ensure all necessary post-settlement tasks are completed.

You will also play a key role in building internal conveyancing capability by training VAs to confidently perform Australian conveyancing and settlement-related tasks under documented processes and procedures.

In addition to providing subject matter expertise, you will assist with day-to-day conveyancing administration, customer support, operational activities, and AML/CTF procedures.

Schedule: Part-time, 20 hours per week (4 hours per day, Monday–Friday) AEST

Responsibilities:

Subject Matter Expertise

  • Document and explain the complete Australian conveyancing process from initial instruction through to post-settlement.
  • Identify workflows, bottlenecks, compliance requirements, and best practices.
  • Work closely with product and development teams to design and validate new conveyancing solutions.
  • Review product features to ensure they align with real-world Australian conveyancing practices.
  • Recommend process improvements and automation opportunities.

Conveyancing Operations

  • Assist with conveyancing administration and file management.
  • Prepare and review documentation where required.
  • Liaise professionally with clients, solicitors, conveyancers, lenders, brokers, and real estate agents.
  • Support settlement coordination and post-settlement administration.
  • Ensure all work complies with Australian legal and regulatory requirements.

Customer Support & Administration

  • Handle inbound and outbound telephone calls professionally.
  • Respond to customer enquiries via Zendesk and other communication platforms.
  • Maintain accurate records and update internal systems.
  • Perform general administrative and operational support duties.
  • Participate in AML training and follow compliance procedures.

Requirements

  • Minimum of 5 years' experience in Australian conveyancing.
  • Comprehensive understanding of the end-to-end Australian conveyancing process.
  • Ability to clearly explain conveyancing workflows to technical and non-technical teams.
  • Experience using PEXA and other Australian conveyancing software.
  • Experience using Zendesk or similar customer support platforms.

Nice to have:

  • Experience working with legal technology or software implementation projects (Highly Desirable).
  • Experience documenting business processes, SOPs, or workflow diagrams (Highly Desirable).
  • Knowledge of Australian AML/CTF obligations (training will also be provided) (Highly Desirable).
  • Experience working remotely with Australian businesses (Highly Desirable).
