Job Overview

Our client is seeking a highly organized and detail-oriented Property Management Administrator (SharePoint) to champion their growing property management operations. In this pivotal role, you will master digital systems, craft operational documentation, and provide exceptional administrative support. Ultimately, your meticulous work will ensure strict compliance and seamless, hassle-free community management.

Schedule

Monday - Friday, Flexible working hours ET (20 work hours per week)

Required: Daily team briefing at 9:30 AM ET

Responsibilities

  • Manage and maintain the SharePoint organizational system, ensuring all community documents are correctly categorised, named, and accessible.
  • Create and update Standard Operating Procedures (SOPs) and training manuals using Scribe.
  • Process and load high volumes of PDF documentation to the community website, strictly adhering to established naming conventions and categorization standards.
  • Upload documents into the Enumerate software system and community-facing portals with high precision.
  • Handle inbound phone enquiries from homeowners regarding payments, account balances, and general community matters.
  • Adhere to the established organizational key to maintain strict file structure across all digital platforms.
  • Collaborate with the administrative team to identify and streamline repetitive tasks to improve efficiency.
  • Implement workflow processes using Manifestly to create audit trails for multi-step procedures.
  • Ensure data accuracy and consistency across all community management systems.

Requirements

  • Document Management: Proven experience working with SharePoint or complex shared drive systems.
  • Systems Proficiency: Strong technical ability to work with PDF management, web-based file uploading, and workflow automation tools.
  • Communication: Exceptional written and verbal English communication skills, with a professional phone manner for client interactions.
  • Attention to Detail: Meticulous approach to data entry, following strict filing protocols, and executing naming conventions without error.
  • Remote Operations: Demonstrated ability to work independently in a remote environment with US-based teams.
  • Work Ethic: Highly organised, proactive, and capable of managing daily tasks with minimal supervision following an initial briefing.
