Admin Assistant

Responsibilities

  • Manage Inbound & Outbound Emails: Serve as the primary point of contact for customer inquiries, supplier communication, and internal team updates.
  • Process & Track Orders: Accurately place, confirm, and monitor order statuses from placement through to delivery.
  • Maintain Spreadsheets: Update and audit inventory logs, order tracking files, and operational records regularly.
  • Coordinate Supply Chain Needs: Liaison with vendors and sister-brand teams to ensure seamless product fulfillment.
  • Handle Data Entry: Input customer details, purchase orders, and administrative data into company databases with high accuracy.
  • Support Daily Operations: Assist management with routine administrative tasks, scheduling, and workflow troubleshooting.

Requirements & Experience

  • Prior Administrative Role: At least 1–2 years of experience in an administrative support, office assistant, or operational coordination role.
  • Strong Email Communication Skills: Excellent written communication skills with a professional, clear, and prompt tone.
  • Order Placement Expertise: Hands-on experience creating, routing, verifying, and tracking order placements through vendor or internal systems.
  • E-Commerce Background: Direct experience working within e-commerce environments (e.g., Shopify, WooCommerce, or custom backend order management portals).
  • Proficiency in Spreadsheets: Solid working knowledge of Microsoft Excel or Google Sheets (data sorting, filtering, basic formulas, and file maintenance).
  • Detail-Oriented & Organized: Exceptional attention to detail in data entry, along with proven time-management skills to handle competing priorities.
