Overview:
We are seeking an experienced and highly capable Conveyancing Administrator to support an Australian client on a part-time basis. This is a specialist role suited to someone who has a strong understanding of the full Australian conveyancing process and can confidently manage conveyancing administration from matter opening through to settlement and post-settlement tasks.
The successful candidate will provide a combination of conveyancing administration, AML/KYC compliance support, Zendesk ticket management, virtual assistance and general administrative support.
This is not an entry-level administration position. We are looking for someone who can hit the ground running, understand conveyancing terminology and processes, manage matters independently, and proactively identify what needs to be done next.
Schedule:
- Monday to Friday, flexible schedule during the client’s business hours (Australian Eastern Time, 20 hours per week)
Key Responsibilities:
- Conveyancing Administration
- Manage and support the end-to-end conveyancing process for Australian property transactions.
- Assist with opening and setting up new conveyancing matters.
- Prepare, organise and maintain conveyancing files and documentation.
- Manage correspondence with clients, solicitors, agents, brokers and other relevant parties.
- Monitor important dates, deadlines, conditions and settlement requirements.
- Assist with contract reviews and administrative aspects of property transactions.
- Coordinate searches, certificates, statements and other required documentation.
- Liaise with relevant parties to ensure outstanding requirements are followed up promptly.
- Assist with settlement preparation and post-settlement administration.
- Maintain accurate and up-to-date matter records and databases.
- Identify delays, missing information or potential issues and escalate appropriately.
- AML / KYC Compliance
- Assist with AML/CTF and KYC procedures in accordance with the client's processes and Australian requirements.
- Conduct and manage client identification and verification checks.
- Collect, review and maintain required identification and supporting documentation.
- Ensure AML/KYC requirements are completed before relevant matter milestones.
- Maintain accurate compliance records and follow established internal procedures.
- Escalate discrepancies, unusual activity or compliance concerns when required.
- Review client information and supporting documents for completeness, accuracy and consistency.
- Follow up with clients where identification or verification documents are incomplete or require clarification.
- Assist with source of funds/source of wealth checks and ensure required information is obtained and recorded.
- Maintain confidentiality and securely handle sensitive client and identification information.
- Ensure AML/KYC tasks are properly documented and updated within the relevant systems.
- Monitor outstanding compliance requirements and proactively follow up to prevent delays to the conveyancing process.
- Zendesk & Client Support
- Manage and respond to client enquiries and requests through Zendesk.
- Create, update, categorise and close support tickets.
- Monitor ticket queues and ensure enquiries are followed up within required timeframes.
- Communicate professionally and clearly with clients via email and support channels.
- Escalate complex legal or conveyancing matters to the appropriate team member.
- Maintain accurate notes and records within Zendesk.
- General Administration & Virtual Assistant Duties
- Provide day-to-day virtual administrative support to the client and team.
- Manage inboxes, calendars, appointments and follow-ups.
- Prepare documents, spreadsheets, reports and correspondence.
- Data entry and maintenance of CRM, practice management and other systems.
- Organise digital files and maintain document management systems.
- Conduct online research and gather information as required.
- Assist with workflow management and task tracking.
- Support general business administration and ad-hoc projects.
Essential Requirements:
- Proven professional experience in Australian conveyancing.
- Strong understanding of the complete conveyancing lifecycle, from initial instruction through to settlement and post-settlement.
- Experience working with Australian property transactions and conveyancing terminology.
- Zendesk experience – preferably hands-on experience managing tickets and client communications.
- Working knowledge of AML/KYC requirements and processes.
- Excellent written and verbal English communication skills.
- Strong attention to detail and exceptional organisational skills.
- Ability to manage multiple matters, deadlines and priorities simultaneously.
- Confident communicating with clients and professional stakeholders.
- Strong computer literacy and ability to learn new systems quickly.
- Ability to work independently and take ownership of tasks.
- Reliable, proactive and highly organised.
- Previous Virtual Assistant / remote administration experience is highly desirable.
Highly Desirable:
- Experience working directly for an Australian conveyancing firm, solicitor or property law practice.
- Experience with Australian conveyancing/practice management software.
- Experience working with CRMs, ticketing systems and digital document management platforms.
- Knowledge of state-specific conveyancing requirements.
