Job Overview
This is not a traditional administrative role. Operating as an extension of the CEO’s office, this position manages the documentation, communications, reporting, and project coordination that keep a complex, multi-funded nonprofit running with precision and integrity. Our client’s mission is to change the life trajectory of Black girls and women born into poverty. Every document produced in this role directly supports that mission.
Our client is looking for an autonomous, detail-oriented professional who produces exceptional work without micromanagement, catches missing signatures, wrong dates, budget inconsistencies, and unclear phrasing before anyone else sees them, and maintains organized, audit-ready systems and files.
Schedule
Monday - Friday, 9:00 AM - 5:00 PM CST, with 1 hour unpaid break (40 work hours per week)
Responsibilities

Executive Writing & Communications: Draft, edit, and proofread high-level correspondence, donor updates, board materials, CEO briefings, and talking points to match organizational voice and accuracy standards.

Grant Management & Funder Reporting: Maintain the master grant calendar, track deliverables, draft narratives and budgets, and submit accurate, audit-ready progress reports and compliance paperwork on time.

Project & Operational Systems: Oversee master project trackers, resolve operational bottlenecks proactively, and create standardized templates, checklists, and workflows.

Paperwork & Onboarding: Manage participant intake compliance, staff and contractor contracts/MOUs, deliverable schedules, and coordinate payroll documentation with the CPA.

Executive Support: Protect and manage the CEO’s calendar, prepare executive meeting materials, and track action items through completion.
Qualifications

Bachelor’s degree in Nonprofit Management, Public Administration, Communications, Business, or a related field (Master’s degree preferred).

Exceptional professional writing and editing skills with minimal revision needed.

Proven ability to manage multiple projects and deadlines using organized tracking systems.

Advanced proficiency in Microsoft Office (Word, Excel) and Google Workspace.

Demonstrated experience handling grant documentation, government reporting, or nonprofit compliance paperwork (Familiarity with behavioral health/human services documentation preferred).

Cultural competency and genuine dedication to serving Black women, girls, and families.

Prior experience supporting a nonprofit CEO or senior executive preferred.
