HR - Recruitment Assistant
Job Summary
The Recruitment & Placement Specialist manages the full talent lifecycle for clinical and non-clinical staff, from sourcing and interviewing through onboarding and final placement. This role partners closely with department leaders and hiring managers to ensure the organization attracts, hires, and retains qualified paraprofessionals while maintaining compliance and regulatory standards specific to the NYS Department of Health.
Key Responsibilities
Recruiting
- Manage full-cycle recruitment for personal care aide and/or home health aides
- Source candidates through job boards, nursing schools, professional associations, employment websites, and employee referral programs
- Screen resumes, conduct initial phone/video interviews, and coordinate interview
- Maintain and update job postings across internal and external platforms
- Build and maintain a pipeline of qualified candidates for high-turnover or hard-to-fill positions
- Track recruitment metrics and report regularly to leadership
Onboarding
- Coordinate pre-employment requirements including background checks, physical exam, and reference verification
- Verify and track aide’s certificate on HCR
- Facilitate new hire orientation logistics, paperwork, and system access setup
- Serve as the point of contact for new hires during their first 90 days to support retention and address early concerns
Placement
- Match candidates to open positions based on skill set, licensure, unit needs, and shift requirements
- Maintain accurate staffing and placement records within the applicant tracking system
- Collaborate with team lead and/or managers and staffing coordinators to anticipate upcoming vacancies and seasonal staffing needs
- Support compliance audits related to staffing files, credentialing, and certificate renewals
Qualifications
Education
- Bachelor's degree in Human Resources, Business Administration, Healthcare Administration, or related field required (equivalent experience may substitute)
Experience
- 1–4 years of recruitment or HR experience, with prior experience in a home health care setting strongly preferred
- Experience with applicant tracking systems on ClickUp
Skills
- Strong interpersonal and communication skills; ability to build relationships with candidates, hiring managers, and leadership
- Excellent organizational skills with the ability to manage multiple requisitions and deadlines simultaneously
- Working knowledge of employment law and healthcare-specific compliance standards
- Proficiency in Microsoft Office/Google Workspace and recruitment software
- Discretion in handling confidential candidate and employee information
