Job Overview:
Our client is looking for a Bilingual Personal Injury Case Manager (English/Spanish) to serve as the primary point of contact for clients throughout the life of their personal injury claim. This role is responsible for guiding clients from onboarding through settlement by maintaining regular communication, coordinating medical treatment, gathering documentation, communicating with insurance companies, and ensuring every case continues to move forward efficiently.
The ideal candidate is compassionate, highly organized, detail-oriented, and fluent in both English and Spanish. This individual must be able to build strong relationships with clients while managing a high-volume caseload and delivering exceptional customer service.
Schedule:
Monday - Friday, 8:00 AM - 5:00 PM EST, with 1 hour unpaid break (40 work hours per week)
Responsibilities:
- Client Communication
- Serve as the primary liaison between the client and the law firm
- Conduct scheduled client check-ins and provide regular case updates
- Explain the personal injury claims process in clear, understandable language
- Return client phone calls, emails, text messages, and portal messages promptly
- Educate clients regarding treatment, insurance issues, property damage, lost wages, and settlement expectations
- Translate conversations and documents between English and Spanish when necessary
- Build trust and maintain a positive client experience throughout representation
- Case Management
- Manage a high-volume personal injury caseload from intake through settlement
- Ensure all case milestones are completed in a timely manner
- Monitor case progress and proactively identify issues requiring attorney review
- Review daily tasks and complete assigned workflow items
- Maintain accurate and complete electronic case files
- Update case notes after every client interaction
- Ensure deadlines are met consistently
- Medical Management
- Verify clients are actively treating
- Schedule medical appointments when necessary
- Request medical records and billing statements
- Monitor treatment progress
- Identify treatment gaps and communicate concerns to the supervising attorney
- Obtain MRI reports, diagnostic studies, and specialist records
- Track outstanding medical providers
- Insurance Communication
- Communicate with insurance adjusters regarding: liability claims, UM/UIM claims, property damage claims, and medical payments coverage
- Obtain insurance policy information
- Verify coverage limits
- Document all adjuster communications
- Follow up regarding outstanding requests
- Investigation
- Collect photographs and videos
- Obtain police reports
- Gather witness information
- Collect wage loss documentation
- Assist with liability investigation
- Coordinate inspections and additional evidence collection
- Case Preparation
- Organize records for demand preparation
- Review medical chronologies
- Verify medical bills
- Ensure all records are complete before demand
- Identify missing documentation
- Prepare case summaries for attorney review
- Administrative Responsibilities
- Maintain accurate MyCase files
- Enter non-billable time entries daily
- Update workflows and tasks
- Maintain calendars and reminders
- Upload documents into the client portal
- Assist with correspondence and document requests
- Participate in daily team meetings
Requirements:
- Fluent in English and Spanish, including reading, writing, and speaking
- Knowledge, skills, and abilities demonstrating exceptional client service, strong empathy, compassion, professional telephone etiquette, and excellent follow-up skills
- Critical thinking, problem-solving ability, and strong attention to detail
- Ability to work independently, manage time strongly, and prioritize competing deadlines
- Ability to maintain confidentiality, possess a team-oriented attitude, and demonstrate adaptability in a fast-paced environment
Qualifications:
- Minimum of 2 years of personal injury case management experience preferred
- Experience working with plaintiff personal injury cases
- Knowledge of Georgia personal injury law preferred
- Experience communicating with insurance companies
- Familiarity with medical terminology
- Strong customer service, written, and verbal communication skills
- Strong organizational skills and ability to manage multiple priorities effectively
- Proficient with Microsoft Office
- Experience with MyCase or similar case management software preferred
Key Performance Indicators (KPIs):
- Client Updates: 15 per week
- Client Check-Ins: 15 per week
- Cases Reviewed: 15 per week
- Cases Moved Forward: 5 per week
- Demand Packages Drafted: 3 per week
- Demands Sent: 3 per week
- Cases Settled: 3 per week
- Time Entries Completed Daily: 100% Compliance
- Tasks Completed by Due Date: 95%
- Client Satisfaction: 95% or Higher
