Legal Intake Specialist (Client Services & CRM)

Position Overview

Our client is seeking a highly organized and customer-focused Legal Intake Specialist (Client Services & CRM) to serve as the first point of contact for prospective clients. In this role, you will qualify leads, schedule and collect payment for consultations, maintain accurate CRM records, and guide prospects through the firm's intake process. You will play a key role in creating a positive client experience while ensuring every inquiry is handled professionally and directed to the appropriate next step.

Schedule

    • Monday to Friday, 8:00 AM – 5:00 PM EST (McDonough, GA) with a 1-hour unpaid break

Key Responsibilities

  • Serve as the first point of contact for prospective clients via phone and other communication channels.
  • Qualify and screen leads by assessing legal matter type, urgency, client fit, and potential conflicts.
  • Schedule qualified prospects for consultations and collect consultation fees when required.
  • Guide prospective clients through the firm's pre-engagement process to improve consultation attendance and engagement.
  • Prepare attorneys or sales representatives with accurate client information before consultations.
  • Draft engagement agreements and follow up to obtain signed agreements and payments.
  • Maintain ongoing communication with prospective clients who have not scheduled, missed consultations, or have not yet retained the firm.
  • Update CRM records, reports, and intake metrics accurately.
  • Refer unqualified inquiries to appropriate resources when applicable while maintaining a positive client experience.
  • Perform all duties in accordance with firm policies and ethical guidelines. This role is administrative in nature and does not provide legal advice or make legal decisions.

Qualifications

Required

  • Previous customer service, client intake, sales support, or administrative experience.
  • Experience using CRM systems to manage leads, track activities, and generate reports.
  • Strong communication, active listening, and relationship-building skills.
  • Excellent organizational skills with strong attention to detail.
  • Ability to manage confidential and sensitive conversations with professionalism.
  • Strong time management and follow-up skills.
  • Ability to work independently while following established processes and procedures.
  • Education or professional experience equivalent to a bachelor's degree.

Preferred

  • Experience in a legal, professional services, healthcare, or similar client-focused environment.
  • Familiarity with legal intake processes or case management systems.
  • Experience handling consultation scheduling, payment collection, and client onboarding.
