About the Role:
We are seeking a reliable, organized, and detail-oriented Part-Time Bookkeeping & Operations Assistant to provide essential bookkeeping and administrative support to our growing business.
This role is ideal for someone who is comfortable managing day-to-day financial administration while also supporting general business operations. The successful candidate will be responsible for maintaining accurate financial records, processing transactions, assisting with reconciliations, and completing a range of administrative tasks to help ensure the business runs smoothly and efficiently.
The ideal candidate will have strong attention to detail, excellent organizational skills, and the ability to work independently while maintaining clear communication with the wider team.
Schedule:
- Monday to Friday, 8:00 am to 12:00 pm (Australian Eastern Time, 20 hours per week)
Key Responsibilities:
- Bookkeeping & Finance Support
- Maintain accurate and up-to-date financial records and bookkeeping systems.
- Process accounts payable and accounts receivable transactions.
- Prepare and issue invoices and follow up on outstanding payments as required.
- Process supplier bills and assist with payment processing.
- Perform bank and account reconciliations.
- Monitor financial transactions and ensure records are accurately maintained.
- Assist with expense tracking, receipts, and financial documentation.
- Support payroll administration and other finance-related tasks as required.
- Assist with preparing basic financial reports and summaries.
- Liaise with internal stakeholders, suppliers, and external accountants when required.
- Administrative Support
- Provide general administrative support to the business and management team.
- Maintain organized digital files, records, and documentation.
- Assist with data entry and updating business systems and databases.
- Prepare documents, spreadsheets, reports, and correspondence.
- Manage email correspondence and respond to routine administrative inquiries.
- Assist with scheduling, coordination, and other operational tasks as required.
- Maintain accurate records and ensure information is kept current and accessible.
- Support the team with ad hoc administrative tasks and business projects.
- Process & Organization
- Identify opportunities to improve bookkeeping and administrative processes.
- Maintain consistent and organized filing and record-keeping systems.
- Ensure all assigned tasks are completed accurately and within required timelines.
- Follow established business procedures and maintain confidentiality when handling financial and business information.
Required Skills & Experience:
- Previous experience in bookkeeping, accounts administration, or a similar finance support role.
- Strong understanding of basic bookkeeping and financial administration principles.
- Experience with accounting software such as Xero, MYOB, QuickBooks, or similar platforms.
- Strong proficiency in Microsoft Excel or Google Sheets.
- Excellent attention to detail and accuracy.
- Strong organizational and time-management skills.
- Good written and verbal English communication skills.
- Ability to work independently and manage multiple priorities.
- Strong data entry and record-keeping skills.
- Reliable, proactive, and able to work consistently within the required schedule.
Preferred Qualifications:
- Experience supporting Australian businesses.
- Familiarity with Australian bookkeeping and accounting practices.
- Experience with accounts payable and accounts receivable.
- Previous experience providing administrative support to management or operations teams.
- Experience working remotely with Australian clients or businesses.
