Job Overview:
Our client is seeking a proactive Administrative Assistant to support their growing multidisciplinary psychology practice. In this remote role, you will manage client communication, scheduling, social media content, and recruitment support using AI tools to work efficiently across languages, specifically Dutch. This position is ideal for an organized professional looking to bring structure and administrative support to a thriving mental health practice.
Schedule: Monday to Friday, 4 hours per day CET; Flexible during client's business hours, 20 work hours per week
Responsibilities:
- Manage email correspondence with clients in Dutch using AI translation tools, maintaining a warm and personalized tone.
- Create and schedule social media posts for Facebook and Instagram to promote services and engage the community.
- Handle calendar management and scheduling for the practice owner and co-workers.
- Respond to client appointment requests and send documents as needed.
- Maintain organized inbox systems and bring structure to administrative workflows.
- Draft and post job vacancies on LinkedIn to attract new therapists and team members.
- Support recruitment efforts by identifying and reaching out to potential candidates.
- Use AI tools like Gemini or ChatGPT to translate content while preserving the client's voice and tone.
- Work remotely with flexible daily shifts in a collaborative, direct-communication environment that values independent initiative.
- Support a meaningful mission in mental health and client care with opportunities to expand your operational role over time.
Requirements:
- Proven experience as an administrative assistant or in an operational support role.
- Strong written communication skills in English.
- Comfortable using AI translation tools to work with Dutch language content.
- Experience managing email inboxes and calendar scheduling.
- Ability to create social media content for platforms like Facebook and Instagram.
- Highly organized with the ability to bring structure to workflows.
- Reliable internet connection and professional home office setup.
Nice to have:
- Experience working with healthcare or therapy practices.
- Familiarity with recruitment processes or posting job vacancies.
- Basic knowledge of Dutch or experience working across languages.
