Bookkeeper & Administrative Assistant

Job Overview

Our client is seeking a Bookkeeper & Administrative Assistant to serve as the organizational backbone of a scaling healthcare services company, taking ownership of all administrative and financial tracking functions. Your work will directly inform business decisions and growth strategy by creating clear visibility into operations, finances, and performance metrics. This role offers genuine impact — you'll transform scattered data into actionable insights while managing the daily administrative workflows that keep a mobile healthcare operation running smoothly.

Schedule

Monday - Friday, 3:00 PM - 7:00 PM CST (20 work hours per week)

Responsibilities

  • Create and maintain detailed tracking spreadsheets by technician, doctor's office, and exam volume to provide clear operational oversight.
  • Manage invoicing workflows using Excel and track all incoming and outgoing payments.
  • Monitor pending invoices and follow up on outstanding payments to maintain healthy cash flow.
  • Maintain and coordinate Google Calendar schedules for technicians and appointments.
  • Organize financial data to provide visibility into company direction and performance trends.
  • Handle general administrative tasks including document creation and file management using Google Workspace.
  • Prepare for future transition to QuickBooks by maintaining organized financial records while providing accurate tracking of incoming and outgoing funds.

Requirements

  • Proven professional experience in bookkeeping and financial tracking.
  • Advanced proficiency in Excel for creating detailed spreadsheets and tracking systems.
  • Strong operational experience with Google Workspace tools including Sheets, Docs, and Calendar.
  • Demonstrated ability to create organized tracking systems and reporting structures from scratch.
  • Excellent attention to detail for managing invoices, data inputs, and financial metrics.
  • Reliable, consistent availability during the requested afternoon shift hours.

Nice To Have

  • Experience working with QuickBooks software.
  • Bilingual communication skills in both Spanish and English.
  • Background working within healthcare, medical services, or clinical environments.
