Senior Bookkeeper (Xero Certified | OfficeRnD | AU Market)

Overview:

Our client is seeking a Senior Bookkeeper (Xero Certified | OfficeRnD | AU Market) to manage the financial administration and operational workflows for our thriving co-working community and growing portfolio of businesses. Working directly with the founder and operations team, the successful candidate will ensure perfect alignment across the core financial ecosystem (Xero, OfficeRnD, Stripe, and Worldpay for Platforms / Payrix). This system-driven role involves managing financial reconciliations, automating Xero workflows, and coordinating cross-functional administrative tasks. Designed for a proactive problem-solver, this position offers exposure to exciting tech projects and the potential to support additional companies within the broader portfolio.

Our client operates a premier co-working and incubator space in Sydney, currently housing approximately 80 companies and 200 active members. Since 2009, they have successfully launched over 500 companies and continue to support a dynamic portfolio of tech-focused ventures. As part of a seven-company portfolio, Desk Space sits at the intersection of real estate, service delivery, and technology innovation.

Schedule:

Flexible schedule during client's business hours, AEST | Part-time

Responsibilities:

  • System-Driven Bookkeeping: Maintain precise data flow and alignment across the entire tech ecosystem (OfficeRnD, Xero, Stripe, and Payrix)
  • Invoicing & Revenue Workflows: Oversee monthly invoicing generated via OfficeRnD (memberships, meeting room hires, lockers, fobs) synced into Xero, as well as ad-hoc Xero invoicing for casual visitors
  • Reconciliations & Settlements: Reconcile gateway transactions (Stripe and Worldpay for Platforms / Payrix) and track final batch settlements into the primary Commonwealth Bank account
  • Accounts Payable & Documents: Manage bill automation via email redirects and team uploads
  • Financial Reporting: Oversee monthly reconciliation, BAS preparation, and automated reporting in Xero with high accuracy
  • Operational Support: Support administrative functions across platforms like HubSpot, Slack, and Google Suite as needed
  • Process Optimization: Identify opportunities to improve ledger schemas, streamline workflows, and document procedures for recurring tasks

Requirements:

  • Xero-certified with 5–10 years of bookkeeping and administrative experience in the Australian market
  • Demonstrated experience with OfficeRnD (or similar co-working/property management platforms) integrated with accounting software
  • Strong hands-on experience reconciling payment gateways including Stripe and Worldpay for Platforms (Payrix) against bank batch settlements (Commonwealth Bank)
  • Demonstrated resourcefulness and problem-solving ability using modern AI tools like Claude or ChatGPT
  • Strong technical literacy with a "systems-driven, not transaction-driven" mindset
  • Proactive communication style and willingness to ask questions when needed
  • Experience with process documentation and workflow optimization
  • Comfortable working autonomously as an external contractor with minimal supervision

Preferred Qualifications:

  • Hands-on experience with HubSpot for CRM and automation workflows
  • Familiarity with project management tools like Jira and Confluence
  • In-depth BAS preparation experience in Australia
  • A naturally curious, technically focused mindset with a passion for continuous learning
