Executive Administrative Assistant
Job Overview:
You will serve as the operational backbone for a new start-up launching a new adult education nonprofit. As a foundational team member, your primary mission is to turn ideas into structured, scalable systems and manage day-to-day operations from the ground up.
Schedule: Part-time (20 hours/week). Flexible during client business hours CST.
Responsibilities:
- Set up and organize Google Workspace for effective team collaboration, including user management, shared file structures, and electronic filing systems.
- Establish and maintain a CRM system from scratch to support future growth and automation needs.
- Implement and document standard operating procedures for backend office operations.
- Manage the founder's calendar, scheduling meetings and coordinating appointments efficiently.
- Handle email management and prioritization to keep communication flowing smoothly.
- Track and manage the founder's to-do list, ensuring forward momentum on key priorities
- Provide proactive executive support that anticipates needs and removes obstacles before they arise.
- Maintain simple bookkeeping systems and financial.
Requisites:
- Prior experience as an administrative assistant, executive assistant, or operational support role.
- Prior experience working autonomously, proactively without constant supervision.
- Strong organizational skills with experience setting up systems and processes.
- Experience with Customer Relationship Management (CRM) platforms such as HubSpot, Salesforce, or Go High Level.
- Proficiency with Google Workspace and electronic file management.
- Basic bookkeeping experience.
- Excellent communication skills and attention to detail.
