Job Description
You will serve as the frontline voice of a busy accounting firm, managing all incoming communications and ensuring seamless coordination across the team. This role combines reception duties with administrative support, giving you ownership of the client experience from first contact through task completion. You'll work directly with the leadership team in a fast-paced environment where your organizational skills and attention to detail will directly impact client satisfaction and team productivity.
Schedule: Mon-Fri 9:00 AM - 5:00 PM MST Client Timezone: Mountain Standard Time (MST)
Responsibilities

Answer all incoming phone calls and provide professional, timely responses to client inquiries

Take detailed messages and relay them accurately to the appropriate team members

Manage calendar scheduling and appointment coordination for multiple team members Handle email management and organize communications by priority

Perform general administrative tasks including filing, data entry, and document organization Maintain organized records and ensure information is easily accessible to the team

Provide customer service support to clients and address routine questions Adapt to Canadian business hours and observe Canadian holidays
Must-Have Requirements

Proven experience in administrative assistance or reception roles

Excellent phone etiquette and verbal communication skills Strong organizational abilities with attention to detail

Proficiency in email and calendar management systems

Reliable internet connection and appropriate home office setup Ability to work full-time Monday through Friday during Mountain Standard Time business hours
Nice-to-Have Requirements
