Our client is a fast-growing U.S.-based entrepreneur managing five expanding brands across e-commerce, entertainment partnerships, and consumer products. As the businesses continue to scale, they are looking for a proactive and highly organized Executive Assistant to provide operational and administrative support.
Job Overview
This role is ideal for someone who enjoys working in a fast-paced entrepreneurial environment, can manage multiple priorities simultaneously, and takes initiative without waiting for instructions. You will serve as the organizational backbone of the business, helping keep projects, deadlines, and communications on track while allowing the entrepreneur to focus on growth and strategy.
Schedule: Monday–Friday, 10:00 AM – 2:00 PM Eastern Time (20 hours per week)
Key Responsibilities
- Manage calendars, appointments, and scheduling across multiple business ventures.
- Coordinate meetings and ensure all time-sensitive commitments are organized and prioritized.
- Monitor deadlines, track action items, and follow up to ensure tasks are completed on time.
- Identify and prevent administrative issues before they impact operations.
- Develop and maintain organizational systems that improve efficiency across multiple brands.
- Handle routine social media scheduling and content posting across various platforms.
- Conduct research and coordinate logistics for business initiatives, including vendor management and office-related needs.
- Maintain organized digital files, documents, and business records.
- Provide daily administrative support and accountability to keep projects moving forward.
- Adapt quickly to changing priorities in a dynamic, high-growth business environment.
- Perform additional executive and administrative support tasks as required.
Requirements
- Proven experience as an Executive Assistant supporting executives, founders, or entrepreneurs.
- Strong organizational and time management skills with exceptional attention to detail.
- Ability to work independently and proactively anticipate business needs.
- Solid understanding of U.S. business practices and culture.
- Experience managing social media platforms and scheduling content.
- Highly reliable, resourceful, and able to manage multiple projects simultaneously.
Nice to have:
- Experience supporting entrepreneurs managing multiple businesses or brands.
- Experience working in e-commerce, consumer products, or entertainment-related industries.
- Familiarity with project management and productivity tools.
- Experience coordinating marketing campaigns, product launches, or brand partnerships.
