Executive Assistant (Operations & HR Support)

Job Overview

Our client is seeking a highly organized and dependable Executive Assistant (Operations & HR Support) to support the Director of Operations with recurring administrative, HR, and operational tasks. This role is ideal for someone who enjoys creating structure, managing detailed workflows, and ensuring projects stay on track. You will work behind the scenes to support employee performance review cycles, manager coordination, financial reconciliation, and executive administration. Once trained, you'll be expected to manage recurring processes independently while maintaining a high level of accuracy and confidentiality.

Schedule

Monday - Friday, 12:00 PM - 4:00 PM Central Time (20 work hours per week)

Responsibilities

  • Manage and prioritize the executive's email inbox, flagging urgent items and drafting responses when appropriate.
  • Compile employee performance data into organized spreadsheets for biannual goal-setting and annual performance reviews.
  • Prepare personalized employee review letters and goal documents for leadership approval.
  • Create and distribute manager meeting agendas in PowerPoint twice each month, gathering updates from department leaders.
  • Collect and organize company credit card receipts and record transactions with the appropriate GL codes.
  • Maintain complex Excel workbooks containing multiple tabs, formulas, linked worksheets, and cross-sheet references.
  • Maintain confidential HR documentation with professionalism, discretion, and strict attention to detail.

Requirements

  • Proven experience as an Executive Assistant or in a similar administrative support role.
  • Intermediate to advanced Microsoft Excel skills, including formulas, linked worksheets, and spreadsheet organization.
  • Experience managing recurring administrative workflows, employee review cycles, and meeting coordination.
  • Professional written English communication skills for drafting professional emails and executive correspondence.
  • Strong organizational skills with exceptional attention to detail and timeline tracking.
  • Self-motivated ability to handle confidential HR information and work independently after initial training.
  • Reliable internet connection and consistent availability during agreed working hours.
