Spanish Bilingual Intake & Client Support Specialist

Overview:

Our client is seeking a professional and compassionate Spanish Bilingual Intake & Client Support Specialist to support a growing legal practice focused on serving elderly clients and their families. This role is ideal for someone with strong customer service and administrative skills who can confidently communicate with Spanish-speaking clients, gather sensitive information accurately, and ensure a smooth intake process.

The successful candidate will serve as one of the first points of contact for prospective clients, helping manage inquiries, complete intake documentation, and coordinate with internal teams while maintaining strict confidentiality and professionalism.

Schedule: Tuesday - Saturday, 8:30 AM to 5:30 PM EST | Full-time position (40 work hours per week)

Responsibilities:

Client Intake & Customer Support

  • Answer inbound phone calls, emails, and messages from prospective clients in both Spanish and English
  • Conduct initial client intake interviews and collect required information accurately
  • Complete intake forms and ensure all documentation is properly recorded
  • Provide clear and empathetic communication to clients regarding next steps
  • Follow up with leads and clients to obtain missing information when needed
  • Maintain a professional and supportive client experience throughout the intake process

Administrative Support

  • Update and maintain client records within the firm's CRM or case management system
  • Organize digital files and ensure documentation is complete and accurate
  • Relay qualified lead information and intake summaries to the sales and legal teams
  • Assist with scheduling appointments and coordinating internal follow-ups
  • Track intake activity and provide regular status updates to management

Requirements:

  • Fluent in both Spanish and English (spoken and written)
  • Previous experience in customer service, intake coordination, call center operations, legal support, healthcare administration, or a similar client-facing role
  • Excellent verbal and written communication skills
  • Strong attention to detail when handling forms and client information
  • Comfortable working with CRM systems, Microsoft Office, and Google Workspace
  • Highly organized and able to manage multiple inquiries simultaneously
  • Ability to handle sensitive and confidential information with professionalism
  • Self-motivated and capable of working independently in a remote environment

Qualifications:

  • Experience working in a legal, healthcare, insurance, or elder-care environment
  • Familiarity with intake procedures and client documentation workflows
  • Experience supporting Spanish-speaking communities in a professional setting
  • Strong customer empathy and active listening skills
