Administrative Assistant

Job Overview:
Support CEO/CFO with HR administration, vendor management, and operational workflows in this high-growth, EST-aligned role. Leverage your expertise in Microsoft Teams and supply chain coordination to streamline executive processes. 

Schedule:
Full Time - 35h per week - Flexible within EST time zone.

Responsibilities:

  • Provide comprehensive day-to-day administrative support directly to the CEO and CFO to streamline business operations.
  • Manage executive calendars, schedule requests, and maintain accurate corporate documentation and business records.
  • Oversee the employee onboarding process and maintain organized personnel and HR administration records.
  • Track employee hours and efficiently prepare and submit timesheets for payroll coordination.
  • Serve as the main point of contact for suppliers via phone and email to request quotes and follow up on procurement orders.
  • Coordinate purchasing documentation, maintain precise vendor records, and manage operational file workflows.
  • Assist senior leadership with high-priority operational projects and oversee critical follow-up tasks.
  • Execute general administrative activities to support and improve efficiency across the expanding manufacturing business.

Requirements:

  • Proven track record as an Executive Assistant or Administrative Assistant, with a strong comfort level supporting multiple senior leaders (CEO/CFO) simultaneously 
  • Previous experience working within a manufacturing or product-based business (highly regarded).
  • Practical experience managing HR administrative processes, including employee onboarding, personnel record keeping, and tracking employee timesheets 
  • Demonstrated experience communicating with suppliers, requesting quotes, following up on orders, and coordinating purchasing documentation. 
  • Exceptional written and verbal English communication skills, paired with professional phone and email etiquette.
  • Familiarity with Microsoft Office, Microsoft Teams, and VoIP phone systems to manage digital workflows efficiently.
  • Strong organizational, multitasking, and problem-solving abilities, with the discipline to work independently in a remote environment.
