Client Engagement & Social Media Coordinator (Appointment Setting | Meta Business Suite)

Our client is looking for a dedicated and proactive Client Engagement & Social Media Coordinator (Appointment Setting | Meta Business Suite) to support their thriving health and wellness brand. This role focuses on maintaining seamless day-to-day operations, managing appointment settings, responding to client inquiries, and coordinating engaging social media content. The ideal candidate has outstanding communication skills, strong CRM expertise, and a passion for supporting an active fitness community.

Schedule: Monday - Friday, 9:00 AM - 6:00 PM AEST | With 1 hour unpaid break (40 work hours per week)

Responsibilities:

  • Act as the primary point of contact for new enquiries across phone, email, WhatsApp, Slack, and other messaging platforms
  • Manage and respond to inbound enquiries across Meta platforms, including Facebook and Instagram
  • Contact warm leads directly from the internal system to book prospective clients into complimentary introductory classes or sales appointments
  • Assist with editing, scheduling, and publishing engaging social media content across active digital channels
  • Process studio membership updates, including freeze and cancellation requests, accurately and efficiently
  • Maintain up-to-date client profiles, documenting all interactions and setting follow-up tasks for studio staff within the CRM
  • Take detailed, accurate notes during client conversations to ensure seamless service delivery
  • Generate regular operational reports and performance updates for Studio Management as required
  • Handle general administrative duties to support the efficient daily operations of all studio locations

Requirements:

  • Proven background in appointment setting, calendar management, and handling inbound customer service enquiries
  • Candidates must submit a relevant portfolio demonstrating previous social media management, content creation, or digital marketing work
  • Excellent written and verbal English communication skills, combined with a professional, approachable phone manner and the ability to build rapport
  • Strong experience managing Meta Business Suite (Facebook and Instagram) and utilizing workplace collaboration tools like WhatsApp and Slack
  • Confident using CRM systems, with the ability to quickly pick up and master new platforms (training provided for ClubReady)
  • Highly organised with excellent time management, strong note-taking skills, and strict attention to detail
  • Proactive problem solver who can work independently, adapt to changing studio needs, and consistently meet key performance indicators (KPIs)

Nice-to-Have Requirements:

  • Previous experience or a background within the health, fitness, or boutique wellness industry
  • A personal interest in Pilates and a willingness to quickly learn and articulate the benefits of the practice to prospective clients

 Additional Details:

  • This role involves responding exclusively to inbound enquiries—no cold calling is required
  • ClubReady is the primary platform used, and comprehensive training will be provided
