Senior Bookkeeper

Job Overview

A fast-growing e-commerce company is seeking a part-time Senior Bookkeeper to independently own our bookkeeping, financial systems, and inventory strategy. This is a high-ownership role starting at 20 hours per week (flexible within EST hours) with significant long-term growth potential. You will manage full-cycle e-commerce accounting, design clean financial workflows, and direct inventory demand planning for a SKU-heavy operation. The ideal candidate is a Chartered Accountant or CPA who acts as a strategic partner, providing proactive data to optimize cash flow and scale our financial backbone.

Responsibilities

Bookkeeping & Accounting

  • Own full-cycle bookkeeping
  • Maintain clean, accurate books
  • Reconcile bank accounts, credit cards, payment processors, vendor payments, and other financial accounts
  • Manage accounts payable and vendor payment tracking
  • Support accounts receivable and customer payment reconciliation
  • Categorize transactions properly
  • Maintain clean chart of accounts
  • Keep books organized, accurate, and audit-ready

Monthly Close & Reporting

  • Run monthly close process
  • Prepare monthly financial statements
  • Create simple but useful management reports
  • Track revenue, COGS, gross margin, operating expenses, net income, cash position, and major variances
  • Flag unusual expenses, discrepancies, or missing data
  • Help the owner understand what changed month to month and why
  • Help cut opex costs and increase capital efficiency

Inventory, Purchasing & Demand Planning

  • Support purchase order planning
  • Track inventory levels and reorder needs
  • Help forecast demand by SKU
  • Compare current inventory, customer demand, supplier lead times, and upcoming purchase needs
  • Help prevent stockouts and over-ordering
  • Track inbound orders from suppliers
  • Support landed cost and COGS accuracy
  • Help create a cleaner inventory planning process as the company grows

Financial Forecasting & Strategy

  • Build and maintain cash flow forecasts
  • Help forecast purchasing needs and inventory cash requirements
  • Support budgeting and operating expense planning
  • Analyze profitability by product, category, and supplier where possible
  • Identify cost leaks, margin issues, or operational inefficiencies
  • Help the owner make better business decisions with clean numbers

Systems & Process Improvement

  • Work with our developer or technical team on accounting integrations
  • Help map transaction data from our e-commerce platform into the accounting system
  • Help decide whether QuickBooks Online or Zoho Books is the better long-term fit
  • Improve workflows around purchasing, inventory, bookkeeping, reporting, and reconciliation
  • Create repeatable SOPs so the finance function becomes more scalable

Requirements

  • Chartered Accountant, CPA, or equivalent accounting qualification strongly preferred
  • Strong experience with QuickBooks Online & Zoho Books
  • Experience with e-commerce accounting
  • Experience with SKU-based inventory businesses
  • Strong understanding of COGS, inventory value, purchase orders, landed cost, vendor payments, and margin tracking
  • Strong reconciliation skills across bank accounts, credit cards, payment processors, and e-commerce platforms
  • Experience creating clean monthly financial reports
  • Strong forecasting and analysis skills
  • Experience with inventory forecasting, demand planning, and reorder planning
  • Ability to work with developers or technical team members on API/data mapping between our store and accounting system
  • Excellent written and verbal English communication
  • Ability to work directly with the leadership team and explain numbers clearly
  • Highly detail-oriented, reliable, and comfortable working independently
  • Strong judgment and willingness to flag issues before they become problems
  • QuickBooks Online Advanced And Zoho Books Elite experience
  • E-commerce platforms such as WooCommerce and Medusa/Next
  • Experience with API-based accounting workflows
  • Experience with inventory tools, purchase order workflows, shipping platforms, or ERP-style systems
  • Experience with multi-vendor purchasing and inbound inventory tracking
  • Experience building dashboards, reports, or financial models
  • Experience helping companies transition from messy startup accounting into scalable finance operations
