Job Overview
Our client is a growing residential construction company looking for a proactive Construction Project Administrator (Xero) to become the operational backbone of their business. In this exciting role, you will take ownership of their project management software, streamline financial administration, and serve as the first point of contact for their valued clients. Your work will directly impact business growth by eliminating operational bottlenecks, allowing the on-site team to focus on building rather than paperwork. This is a pivotal role designed to transition the business from owner-reliant administration into a systemized, efficient machine.
Schedule
Monday - Friday, 8:00 AM - 5:00 PM Sydney Time (40 work hours per week)
Responsibilities
- Take ownership of Wunderbuild, acting as the central source of truth for projects and ensuring data integration with Xero.
- Process daily supplier bills in Xero, prepare weekly payment batches, and assist with monthly cashflow projections.
- Act as the first point of contact for client inquiries, ensuring professional responses within 2 hours and managing calendars.
- Coordinate material ordering, track delivery logistics, and communicate arrival schedules to on-site trades.
- Manage routine project administration, including accurately submitting NSW planning portal applications.
- Conduct regular supplier price auditing and market comparisons to ensure competitive rates on materials.
- Extract business workflows from the owner to develop comprehensive SOPs, checklists, and a centralized operations manual.
Requirements
- Proven experience in administrative support, ideally within the construction, trades, or real estate industries.
- Professional proficiency with Xero, including processing bills, reconciling statements, and preparing payment batches.
- Solid experience utilizing digital project management software frameworks.
- Professional written and verbal English communication skills for professional client and trade interactions.
- Strong organizational skills to manage multiple parallel tasks from material tracking to site scheduling.
- Demonstrated experience in creating Standard Operating Procedures (SOPs) and documenting corporate workflows.
- Familiarity with Google Workspace, advanced calendar management, and independent remote execution.
