Executive Operations Assistant (QuickBooks)

Job Overview

Our client is looking for a proactive Executive Operations Assistant (QuickBooks) to act as a vital operational partner. In this role, you will handle a mix of business and personal operations, offloading daily tasks to free up capacity for the Chief of Staff and maintaining a high level of organization across both corporate and household schedules.

Schedule

Monday - Friday, 9:00 AM - 6:00 PM CST (40 work hours per week)

Responsibilities

  • Manage expense labeling and categorization within QuickBooks according to established guides
  • Coordinate payments and scheduling for household vendors including nanny and lawn services
  • Schedule and manage medical and personal appointments for the family
  • Offload daily operational tasks to free up capacity for the Chief of Staff
  • Proactively identify and fill operational gaps as a proactive business partner
  • Monitor and verify recurring business and personal expenses

Requirements

  • Proactive partner mindset with a focus on being a self-starter
  • Ability to work effectively without daily detailed SOPs or constant supervision
  • Experience in executive assistance, preferably with overlap in personal operations
  • Professional English written and verbal professional communication skills 
  • Familiarity with QuickBooks or basic financial expense management
  • Excellent organizational skills and attention to detail
