As a Social Media Operations Coordinator, you'll serve as the operational backbone for our client accounts and social media marketers. You'll manage a variety of template-driven, process-based tasks, including client onboarding, content coordination, scheduling, approvals, AI-assisted workflows, and reporting. Comprehensive written SOPs and training are provided for every process, allowing you to succeed in a structured, organized environment.

Key Responsibilities
- Client onboarding setup — recording logins, creating client WhatsApp groups, baseline social profile screenshots, setting up shared drive folder structures
- Shoot coordination — locking shoot dates with clients, creating calendar events, distributing content plans to the team, sending shoot reminders
- Footage and photo filing in shared drive after every shoot
- Running our AI-assisted workflows in Claude — using pre-built client Projects and automations (content calendar generation, reporting support) following our SOPs
- Client content approvals — sending content links for approval via templated messages, chasing sign-off, escalating per our escalation rules
- Scheduling and posting content via our scheduling platform (Rella)
- Maintaining the content calendar and flagging gaps immediately
- Building the full monthly analytics report (Instagram, Facebook, TikTok) in our report template — before/after, best/worst performers, demographics, interaction figures
Requirements
- Excellent written English — this is a client-facing role via chat (templated messages provided)
- Highly organized and process-driven — follows written SOPs exactly and asks before improvising
- Confident with Google Workspace (Drive, Calendar, Docs) and WhatsApp
- Comfortable working with AI tools — able to navigate Claude (or similar, e.g. ChatGPT) to run our pre-built automations and prompts; training provided on our specific setup
- Experience with social media scheduling tools (Rella) preferred
- Basic social analytics literacy (Meta Insights, TikTok analytics) for the monthly report build
- Available for team meetings and client meetings by video, with reasonable overlap to Sydney (AEST) business hours
