Job Overview
Our client is seeking an AU Mortgage Loan Processor to support end-to-end mortgage processing and client journey management. This role focuses on ensuring smooth loan progression from application through to settlement, while maintaining strong client communication and CRM accuracy.
This is a non-voice, admin-heavy support role working closely with a mortgage broker and internal systems to ensure all files are actively tracked, updated, and progressing without delay.
Schedule

Monday - Friday, 9:00 AM - 1:00 PM AEST (20 work hours per week)

Note: Will increase to 6 hours per day (30 work hours per week) after 1 to 2 weeks, with the potential to transition to Full-Time after a few months.
Responsibilities
Loan File Management
- Prepare mortgage applications and supporting documentation
- Collect and organise required client documents
- Maintain and update CRM records (Go High Level + Sales Tracker)
- Ensure all loan files are accurate and up to date
Lender Management
- Follow up with lenders on approvals, conditions, valuations, and settlement progress
- Track application status and escalate delays where required
Client Communication
- Provide proactive client updates throughout the loan process
- Respond to client queries within 24 hours
- Maintain clear, professional written communication (email-based)
Settlement Coordination
- Liaise with solicitors, lenders, and stakeholders
- Ensure smooth coordination through to settlement completion
System & Database Support (M180 System)
- Maintain and update internal mortgage tracking system (M180)
- Schedule 6-month and 12-month client review reminders
- Ensure database accuracy and ongoing engagement tracking
Key Outcomes / KPIs
- No loan files left without a next action or follow-up
- All clients receive proactive and timely updates
- CRM reflects real-time pipeline visibility and accuracy
- All M180 review dates are correctly scheduled and tracked
- High client satisfaction and referral readiness
Daily Operating Rhythm
- Morning: review all active loan files and lender updates
- Midday: follow up lenders and chase outstanding documentation
- End of day: ensure every file has a next step, owner, and due date
Requirements
- Experience in mortgage broking support, loan processing, or financial services administration
- Familiarity with CRM systems (Go High Level preferred)
- Exposure to loan application workflows and lender coordination
- Experience or ability to quickly learn Sales Tracker (aggregator platform)
- Strong attention to detail and organisational skills
- Professional written English for client communication
- Ability to manage multiple active loan files
- Experience with Australian mortgage processes is highly desirable
- Comfortable working in a structured, KPI-driven environment
