Job Overview
Our client is seeking experienced a Medical Scheduling Receptionist to manage appointment scheduling, cancellations, and communication with staff and clients. The role requires working within HIPAA-compliant platforms to coordinate scheduling activities and maintain seamless communication across the healthcare team.
Client Overview
The client is a growing behavioral healthcare services provider operating across multiple regions in California. They currently maintain a team of part-time schedulers and are expanding their scheduling operations to provide full coverage and support as they scale their services.
Schedule

Monday - Friday, 8 AM to 5 PM Pacific Time, with 1 hour unpaid/paid break (40 work hours per week)
Responsibilities
- Answer incoming calls and manage appointment scheduling requests through the Central Reach platform
- Process appointment cancellations and reschedules while maintaining accurate records in the scheduling system
- Notify appropriate staff members and clients of scheduling changes, cancellations, and updates in a timely manner
- Communicate with internal teams via email and platform messaging to coordinate scheduling needs
- Maintain strict HIPAA compliance when handling all patient information and communications
Requirements
- Previous experience as a medical receptionist or scheduler in a healthcare setting
- Proficient in English and Spanish for bilingual clients
- Demonstrated knowledge of HIPAA compliance requirements and ability to maintain patient confidentiality
- Experience working with Electronic Medical Records (EMR) systems or similar healthcare scheduling platforms
Qualifications
- Prior experience specifically with Central Reach scheduling software
- HIPAA certification or willingness to complete certification training upon hire
- Experience with Google Suite for communication and coordination
- Background working in behavioral health or ABA therapy services
