Customer Service Administrator

Job Overview

Our client is seeking a detail-oriented, highly organized, and proactive Customer Service Administrator to serve as a vital support resource for their growing business operations. In this role, you will manage day-to-day administrative functions, streamline business communications, and deliver exceptional customer care following established internal procedures. This position is ideal for a dependable professional who thrives on variety, takes independent ownership of tasks, and is confident in learning and navigating modern digital platforms to maintain operational efficiency.

Schedule

Monday - Friday, 8:00 AM - 5:00 PM AEST (40 work hours per week)

Responsibilities

  • Monitor, organize, and respond to incoming email correspondence while drafting professional customer, supplier, and business messages.
  • Respond to customer inquiries using internal customer service procedures, managing refunds, replacements, missing items, returns, and courier issues.
  • Escalate highly important or sensitive business matters directly to the founder for swift resolution.
  • Manage calendars, meetings, reminders, and follow-up tasks to keep organizational projects, deadlines, and action items structurally aligned.
  • Follow up systematically with suppliers, retailers, distributors, and service providers to keep supply pipelines moving efficiently.
  • Prepare professional corporate documents, analytical reports, operational spreadsheets, and presentations while organizing records within Google Drive.
  • Create and update Standard Operating Procedures (SOPs), assist with market research, perform data entry, and maintain product barcode and business registers.

Requirements

  • Professional written and spoken English communication skills paired with professional, customer-focused email-writing capabilities.
  • Excellent organizational and time management skills with the demonstrated ability to manage multiple tasks and competing priorities.
  • High attention to detail, strong problem-solving capabilities, and resourceful research skills.
  • Comfortable working independently with minimal supervision while executing tasks accurately and thoroughly.
  • Confident using technology and highly adaptable when learning unfamiliar cloud-based business software platforms.
  • Discreet and trustworthy when handling confidential internal business information and sensitive client records.
  • Ability to work effectively and maintain consistent communication during active Australian business hours.
