Overview
We are looking for an organized, proactive Executive & Publishing Project Coordinator to help drive our diverse portfolio of creative, educational, and advocacy projects from concept to completion. In this role, you will help manage dynamic content and streamline workflows across a wide range of initiatives—including books, websites, videos, documentaries, and digital media. By blending traditional research and documentation with cutting-edge AI technology, you will play a pivotal role in transforming complex ideas into meaningful, impactful resources that inform, educate, and inspire global audiences.
This role is ideal for someone who enjoys organizing information, coordinating projects, and ensuring nothing falls through the cracks.
Schedule: Flexible Schedule (35 hours or more per week)
Key Responsibilities
- Manage multiple publishing and content projects simultaneously.
- Organize and maintain project files, documents, and digital assets.
- Coordinate the development of books, websites, videos, and other content.
- Turn AI-generated content into structured, publish-ready documents.
- Track project timelines and ensure deadlines are met.
- Assist with document formatting and proofreading.
- Coordinate with internal team members and external contributors.
- Maintain organized documentation using Google Workspace and cloud storage.
- Perform executive administrative tasks as needed.
- Recommend process improvements to increase efficiency.
Qualifications
- Previous experience as an Executive Assistant, Project Coordinator, Operations Coordinator, or similar role.
- Exceptional organizational skills.
- Excellent written English.
- Strong attention to detail.
- Experience using Google Workspace or Microsoft Office.
- Comfortable learning new software and AI tools.
- Ability to manage multiple priorities independently.
- Strong documentation skills.
Nice-to-Have
- Publishing or self-publishing experience.
- Experience formatting books or long-form documents.
- Knowledge of AI tools such as Gemini or ChatGPT.
- Experience supporting entrepreneurs or content creators.
