Virtual Administrative Assistant

Job Overview:

We are seeking a proactive Administrative Virtual Assistant to become the operational backbone of our close-knit, remote team.

Schedule: Flexible Part Time | Monday to Friday. Allentown, NJ (EST. Time).

Responsibilities:

  • Monitor and organize the shared inbox three times daily, triaging urgent client messages and routing emails to the right team members.
  • Forward emailed invoices to bookkeeping and follow up internally to ensure all client requests are completed.
  • Write and maintain Standard Operating Procedures (SOPs) and internal checklists to keep workflows consistent.
  • Manage tasks in Asana, send reminders, keep Google Drive files organized, and proactively suggest ways to improve team efficiency.
  • Master company software platforms and troubleshoot basic workflow, integration, and automation (Zapier) issues.
  • Test system updates and leverage AI tools to streamline repetitive tasks.
  • Provide basic tech support to the team and handle software setup for new hires.

Requirements:

  • Proven experience as a Virtual Assistant, Administrative Assistant, or in a similar remote role requiring strong independent work habits.
  • Exceptional organizational, time management, and multitasking skills with high attention to detail and strong follow-through.
  • Excellent written and verbal English communication skills, with a commitment to proactive team collaboration and support.
  • Absolute reliability, honesty, and trustworthiness, with a strong work ethic and the ability to consistently meet deadlines.
  • High proficiency in Google Workspace and a comfort level troubleshooting technology and learning new software platforms.
  • Familiarity with or willingness to learn team communication and project management tools like Slack and Asana.
  • Experience or interest in using QuickBooks Online and leveraging automation/AI tools (e.g., Zapier, ChatGPT, Claude) for productivity.
  • Capability or openness to managing social media platforms (Facebook, Instagram, LinkedIn) for engagement and lead generation.
