Medical Spa Receptionist

Overview

The Medical Spa Receptionist will be the first point of contact for clients, managing inquiries, appointment bookings, and administrative coordination, directly impacting the business’s growth. Our client is a thriving medical spa in Los Angeles experiencing rapid growth and high demand for aesthetic treatments. The business is actively scaling operations, investing in digital marketing, and values exceptional client experiences. 

Schedule: Monday, Tuesday, Thursday, Friday, and Sunday, 10:00 AM to 6:00 PM, Encino, CA Time with a 30-minute paid break

Responsibilities:

  • Answer incoming phone calls and provide exceptional customer service to medical spa clients.
  • Monitor and respond to Instagram direct messages promptly to capture leads.
  • Schedule client appointments using the company’s aesthetic EMR booking system.
  • Convert interested prospects into booked clients using consultative sales techniques.
  • Handle basic administrative tasks and client coordination.
  • Assist with insurance-related calls and prescription coordination when needed.
  • Maintain professional communication across all client touch points.
  • Work with RingCentral phone system and electronic medical record software.

Requirements:

  • Excellent English communication skills with a clear and professional speaking voice for client-facing phone interactions.
  • Strong customer service background with proven sales abilities
  • Strong experience in appointment setting, calendar management, and patient scheduling
  • Experience in supporting the healthcare industry, an aesthetic clinic, or a medical spa
  • Experience with phone systems and CRM/booking software
  • Professional demeanor when interacting with medical spa clients
  • Reliable internet connection and quiet work environment
  • Bonus: experience with aesthetic or medical industry software
  • Comfortable learning new systems quickly
