Bilingual Rostering & Workforce Coordinator

About the Role

We are seeking a highly organized and detail-oriented  Bilingual Rostering & Workforce Coordinator  to join our growing team. This role is responsible for coordinating daily care rosters, ensuring clients receive timely, high-quality services while maximizing workforce efficiency. The ideal candidate is an excellent communicator who can confidently liaise with clients, care workers, and internal stakeholders in both Turkish and English.

Schedule

  • Monday to Friday, 8:00 AM – 5:00 PM, 40 paid hours per week with 1 hour unpaid break - Sydney, NSW Time

Key Responsibilities

  • Coordinate and maintain daily rosters across all services, matching care workers to clients based on skills, preferences, availability, and continuity of care.
  • Monitor unallocated visits, cancellations, and schedule changes in real time, taking prompt action to minimize service disruptions.
  • Optimize care worker routes by ensuring travel times comply with organizational guidelines.
  • Improve workforce utilization by bundling visits and identifying opportunities to allocate additional shifts.

Rostering & Scheduling

Communication & Coordination

  • Liaise with Care Managers to clarify client requirements, care needs, and scheduling preferences before allocating care workers.
  • Notify clients of any roster changes and provide clear communication regarding replacement workers and service updates.
  • Maintain regular communication with care workers regarding roster amendments, late check-ins, attendance concerns, and shift-related matters.
  • Escalate incidents, complaints, and service disruptions appropriately while maintaining accurate documentation within the Incident Management System (IMS).

System & Data Management

  • Maintain accurate and up-to-date information within rostering and scheduling systems, including client schedules, worker availability, and visit information.
  • Record cancellations, service changes, and client or worker feedback under the appropriate profiles.
  • Prepare and maintain rostering reports, including:
  • Unallocated visits
  • Late check-ins and check-outs
  • Cancelled visits
  • Kilometers travelled
  • Identify recurring scheduling or data issues, such as incorrect kilometer claims or service coding errors, and collaborate with HR and Recruitment to resolve them.

Workforce Optimization

  • Regularly review and update care worker availability through phone calls and system updates.
  • Monitor travel distances to reduce unnecessary travel time and operational costs.
  • Participate in weekly rostering and recruitment meetings to discuss workforce capacity, new client intakes, scheduling challenges, and recruitment needs.
  • Recommend and support process improvements that enhance scheduling efficiency, workforce productivity, and client satisfaction.

Compliance & Quality

  • Ensure all rostering activities comply with organizational policies, funding program requirements, travel guidelines, and service codes.
  • Review timesheets for accuracy, including clock-in and clock-out times, kilometers travelled, and service coding.
  • Escalate unresolved or recurring rostering issues to management for further review.
  • Uphold ethical, transparent, and client-centered decision-making in all scheduling activities.

About You

We're looking for someone who possesses:

  • Professional proficiency in both Turkish and English (written and spoken) is required. 
  • Previous experience in rostering, workforce scheduling, care coordination, or a similar operational role.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent problem-solving and critical-thinking abilities.
  • High attention to detail and strong administrative skills.
  • Experience using rostering, scheduling, CRM, or workforce management systems.
  • Strong interpersonal skills with the ability to build positive relationships with clients, care workers, and internal teams.
  • Confidence communicating over the phone and handling scheduling enquiries professionally.
  • Proficiency in Microsoft Office applications, particularly Outlook, Excel, and Teams.
