Production & Supply Chain Coordinator (Fashion & Apparel)
Overview
Our client is seeking a detail-oriented and highly organised Production & Supply Chain Coordinator (Fashion & Apparel) to join their team following an internal restructure. This role is central to their product development and manufacturing operations, owning relationships with factory partners and managing the full production lifecycle from initial purchase order placement through to factory handover.
The ideal candidate has experience in fashion production, is confident managing multiple collections simultaneously, and thrives in a fast-paced, deadline-driven environment.

Responsibilities:
Purchase Order & Production Management
- Raise, manage, and maintain purchase orders (POs) for all factories across all collections, including bulk, recuts, and SMUs, within the ERP system.
- Send purchase orders to factories and follow up to confirm receipt and production timelines.
- Update purchase orders with pricing adjustments, size breakdowns, quantity amendments, and revised ex-factory dates.
- Prepare and distribute PO checklist documents to the warehouse team.
- Cancel purchase orders for discontinued styles or withdrawn customer orders.
- Send confirmed collection quantities to factories to commence production.
- Manage sample quantities and coordinate recut orders.
- Build and maintain strong working relationships with factory partners.
- Negotiate pricing with factories and review proposed upcharges.
- Follow up with factories regarding outstanding invoices, packing lists, shipment updates, and estimated arrival dates.
Collection, Inventory & ERP Management
- Set up product codes and barcodes for new styles within the ERP system.
- Generate and distribute barcode files for new collections to factories and warehouse teams.
- Receive goods from factories and freight partners across multiple markets.
- Process stock adjustments for PR gifting, samples, returns, inter-branch transfers, and online allocations.
- Manage retailer returns and returned goods back into inventory.
- Maintain and update ERP data, including new collections, pricing, product categories, fabric compositions, seasonal releases, and product descriptions.
- Maintain the master Collection Bible, including FOB pricing, product weights, HS codes, fabric compositions, international pricing, approved upcharges, and ex-factory dates.
- Create, process, and maintain Sales Orders (SOs) across all customer types.
- Manage monthly ERP period updates as required.
- Maintain HS codes, market-specific compliance information, and ensure MID codes are correctly applied to packing lists.
Shipping & Logistics
- Arrange domestic and international shipments through courier and freight providers.
- Create shipping labels for retailer orders, PR gifting, editorial samples, and influencer shipments.
- Prepare packing lists, carton labels, commercial shipping documentation, and shipping instructions for factories and freight forwarders.
- Coordinate with freight providers regarding shipping operations and account management.
- Reconcile freight invoices on a weekly basis.
- Monitor shipment progress and communicate delivery updates with factories, freight partners, and internal stakeholders.
- Create and distribute delivery schedules to factories and customers.
Pricing & Sales Administration
- Manage pricing across multiple currencies including AUD, USD, CAD, EUR, ILS, JPY, NZD, and TWD.
- Build and maintain wholesale and recommended retail pricing schedules.
- Prepare regional pricing for upload to JOOR across applicable markets.
- Prepare pricing schedules for SMU products.
- Update and distribute trading terms documentation for approval.
- Maintain shared sales trackers for major retail accounts and boutique customers.
- Update order tracking spreadsheets with new orders, recuts, and delivery information.
Invoicing & Financial Administration
- Prepare and issue invoices for major retail accounts, distributors, boutique customers, and collection deposits.
- Upload invoices to factoring platforms and maintain sales tracking records.
- Prepare collection deposit and balance invoices.
- Process customer credits for shortages, damaged goods, quality issues, refunds, duty recoveries, and applicable late fees.
- Reconcile warehouse invoices and investigate discrepancies.
- Monitor and resolve outstanding customer credits.
- Follow up on outstanding customer payments and coordinate product release upon payment confirmation.
Operations & Administration
- Maintain warehouse missing-item reports and inventory records.
- Coordinate closely with warehouse, finance, sales, and production teams to ensure operational efficiency.
- Ensure accurate ERP records and operational documentation across production, logistics, inventory, and customer orders.
- Support continuous improvement of operational processes and cross-functional coordination.
Requirements:
- Minimum of 2 years of experience in a Production Coordinator, Buying Coordinator, Supply Chain Coordinator, or similar role, preferably within the fashion or apparel industry
- Strong understanding of garment production processes and factory management
- Experience using ERP or inventory management systems (experience with Magic is highly regarded)
- Experience with JOOR or similar B2B order management platforms
- Knowledge of multi-currency pricing and international trade compliance, including HS and MID codes
- Exceptional attention to detail and ability to manage multiple collections simultaneously
- Strong written and verbal communication skills, particularly when working with factory partners
- Excellent organisational, planning, and prioritisation skills
- Ability to work independently while managing competing deadlines
