Bookkeeper (Multi-Company Operations)

Job Overview

Our client is seeking a highly organized and detail-oriented Bookkeeper to support the financial operations of a growing organization with multiple business entities. This role is ideal for someone with strong bookkeeping experience, excellent organizational skills, and the ability to manage repetitive yet detail-critical tasks across multiple companies.

In addition to maintaining accurate financial records, you will be responsible for organizing digital financial documents, supporting monthly accounting processes, maintaining QuickBooks integrations, and ensuring consistency across multiple business entities. Success in this role requires exceptional attention to detail, strong time management, and the ability to work independently while maintaining accuracy.

Schedule: Monday - Friday, Flexible anytime between 8:00 AM to 8:00 PM Simi Valley, CA Time (8 hours per day/40 hours per week)

Responsibilities:

Bookkeeping & Financial Management

  • Maintain accurate financial records across multiple QuickBooks company files.
  • Perform bookkeeping activities including data entry, account reconciliations, and transaction categorization.
  • Ensure financial records are accurate, complete, and up to date.
  • Assist with monthly bookkeeping close activities as assigned.

QuickBooks Administration

  • Maintain and troubleshoot QuickBooks bank feed connections.
  • Monitor synchronization issues and resolve connection errors promptly.
  • Ensure transactions are imported accurately into QuickBooks.

Expensify (Expense Report Platform) Administration

  • Maintain and troubleshoot Expensify connections to QuickBooks and Bank Fees.
  • Monitor synchronization issues and resolve connection errors promptly.
  • Review and Approve Expense Reports and ensure reports are coded properly.
  • Ensure transactions are imported accurately into QuickBooks and cleared against bank transactions.
  • Follow up with clients on missing/uncoded transactions.

Digital Financial File Management

  • Organize and maintain complex Dropbox folder structures for multiple business entities.
  • Upload, organize, and archive financial documents following established filing standards.
  • Maintain consistency and accuracy across all digital records.

Financial Document Processing

  • Download monthly financial documents from accounting portals.
  • Transfer documents into the correct entity-specific Dropbox folders.
  • Verify all files are properly named, categorized, and stored.

Multi-Entity Administrative Support

  • Perform recurring administrative tasks across approximately 17+ separate companies.
  • Replicate updates, file management, and bookkeeping processes consistently across all entities.
  • Support process improvements that increase efficiency while maintaining accuracy.

Reporting & Collaboration

  • Communicate bookkeeping issues or discrepancies promptly.
  • Collaborate with internal stakeholders to ensure financial records remain organized.
  • Assist with ad hoc bookkeeping and administrative projects as needed.

Requirements

  • Minimum 2–3 years of bookkeeping experience.
  • Strong working knowledge of QuickBooks Online.
  • Experience reconciling bank accounts and managing bank feeds.
  • Understanding of basic accounting and bookkeeping principles.
  • Experience working with multiple companies or multiple QuickBooks files is highly preferred.
  • Proficiency in Microsoft Excel.
  • Experience using Dropbox, OneDrive or similar cloud-based document management platforms.

Technical Requirements

To ensure optimal performance and productivity in this remote role, candidates must have:

  • A personal Windows laptop or desktop
  • Minimum of 16 GB RAM
  • Intel Core i5 (10th Gen or newer), Intel Core i7, or AMD Ryzen 5 equivalent or higher
