Accounting Practice Manager (Australian Accounting)

Job Overview

An Australian accounting practice is looking for an experienced Accounting Practice Manager (Australian Accounting) to join them part-time. This is not a traditional admin role — you'll be the operational engine of the business, responsible for keeping client work on track, holding staff accountable to deadlines, and protecting the principal's time and attention. Our client is looking for someone who thinks in systems, communicates with confidence, and takes ownership without being micromanaged. You'll be across everything from compliance calendars to staff workloads to client risk — and you'll know what to escalate and when. This is not a data entry or general admin position; we need someone who can manage up, manage laterally, and exercise genuine judgement.

Schedule

  • Monday - Friday, Flexible Hours, AEST/AEDT (20 work hours per week)

Responsibilities

  • Own and maintain a master deadline tracker covering BAS/IAS lodgements, payroll cycles, superannuation due dates, monthly reconciliations, EOFY tasks, and payment runs.
  • Issue proactive reminders to staff ahead of key dates, follow up on overdue tasks, and escalate anything at risk of being missed.
  • Track staff allocation across the client portfolio and monitor hours used versus retainers for each client.
  • Spot overloaded or underutilised team members and flag resource allocations for rebalancing.
  • Monitor and triage the shared inbox by urgency while drafting professional client-facing email replies for principal review.
  • Ensure staff members are responding to clients within agreed timeframes and flag client risk signals such as reduced engagement, fee disputes, or scope creep.
  • Manage the principal's calendar, maintain their to-do list, and actively chase outstanding proposals and unpaid invoices.

Requirements

  • Minimum 3 years in an operations, practice management, or senior EA role (professional services or accounting firm experience strongly preferred).
  • Strong familiarity with Australian compliance cycles (BAS, IAS, super, EOFY) and an understanding of deadline urgency.
  • Professional written English skills with a demonstrated ability to draft professional, client-facing communications.
  • Strong organizational and follow-through skills with a proven track record of closing loops without being chased.
  • Ability to work independently across time zones with the capability to align with AEST business hours.
  • High level of technical proficiency, with experience using practice management software (XPM, Karbon, or similar) considered a strong advantage.
