Executive and Social Media Coordinator

Overview

Our client is looking for a versatile Executive and Social Media Coordinator to serve as the right-hand partner to the owner of a boutique, high-end landscaping and design-build company in the Essex region. In this role, you will seamlessly manage day-to-day administrative tasks, lead premium client communications, and execute a creative digital marketing strategy to generate new leads for luxury garden transformations. It is a dynamic opportunity to act as the central hub of a growing, design-first business, coordinating everything from executive support to the brand's online presence.

Schedule:

  • Mon-Fri 9:00 AM - 5:00 PM Greenwich Mean Time (GMT) / British Standard Time (Part-time 20 hours/week, with potential to expand to full-time)

Responsibilities

  • Answer and manage incoming phone calls from prospective clients, explaining services and the design-first approach with professionalism suited to high-end clientele.
  • Manage email correspondence, including following up with leads, sending quotes, and maintaining communication schedules to ensure no prospects fall through the cracks.
  • Create and maintain organized systems for tracking client details, project notes, and communications that allow seamless information sharing with the business owner.
  • Develop and execute social media strategy, including content creation, managing social media accounts, creating reels, and potentially running paid advertising campaigns.
  • Design marketing materials and presentations using Canva, converting project photos into professional visual content for client presentations and social media.
  • Conduct design service sales calls via Zoom using prepared presentation materials to convert prospects into clients.
  • Coordinate with build teams, including checking in on material needs and project requirements, then communicating updates to the owner.
  • Maintain a CRM or tracking system with detailed notes accessible to both the assistant and the owner for seamless client journey management.

Requirements

Must-Have Requirements

  • Proven experience in executive assistant or virtual assistant roles with demonstrated ability to manage multiple administrative tasks independently.
  • Strong social media management skills, including content creation, platform management, and understanding of digital marketing strategy to generate leads. (APPLICATIONS WITH PORTFOLIOS WILL BE PRIORITIZED)
  • Excellent communication skills with professional phone manner and written communication suitable for high-end clientele.
  • Proficiency in Canva or similar design tools for creating presentations, marketing materials, and social media content.
  • Experience with CRM systems or project management tools to track leads, client communications, and project details.
  • Self-starter with ability to identify tasks that need attention and proactively manage follow-ups without constant direction.

Nice-To-Have Requirements

  • Experience with paid advertising campaigns on social media platforms.
  • Background in construction, landscaping, or home improvement industries.
  • Sales experience, particularly consultative or presentation-based sales for premium services.
  • Familiarity with VoIP phone systems such as JustCall.
  • Experience working with UK-based clients or understanding of UK business culture.
