Senior Operations Manager

Overview:

We are looking for an experienced Senior Operations Manager to oversee our organization's operating system across project execution, finance operations, facilities, and legal administration. Reporting directly to our Chief Operating Officer (COO), you will establish our Project Management Office (PMO), define operational standards, strengthen cross-functional execution, and ensure our business-critical support functions run efficiently. Your mission is to improve execution speed, remove operational bottlenecks, increase accountability, and build scalable systems that enable consistent and predictable delivery across our organization.

Schedule: Monday - Friday, 9:00 AM - 5:00 PM Cancun EST | With 30 minutes paid break (40 work hours per week)

Responsibilities:

Project Management Office (PMO)

  • Build and lead the organization's centralized PMO
  • Develop operational standards for Project Managers and Project Leads
  • Define ownership, decision rights, escalation paths, and project governance
  • Ensure projects have clear objectives, timelines, deliverables, and accountability
  • Coach project teams to improve execution quality and consistency

Finance Operations

  • Establish reliable budget tracking and variance reporting
  • Implement practical financial controls, approval processes, and documentation standards
  • Monitor operational spending, recurring expenses, and vendor management
  • Improve visibility into financial performance and operational costs

Facilities Management

  • Oversee maintenance, security, equipment, and vendor coordination
  • Create structured workflows for repair requests and operational issues
  • Develop SOPs for facilities management and business continuity
  • Ensure timely resolution of priority operational issues

Legal Administration

  • Oversee administrative legal workflows, including contract intake, document routing, signature tracking, compliance coordination, and status reporting
  • Ensure smooth collaboration between stakeholders throughout the approval process
  • Maintain visibility and accountability across all legal administrative activities

Operational Governance

  • Establish consistent operational reporting rhythms
  • Monitor organizational capacity and resource allocation
  • Prevent overcommitment through clear prioritization
  • Maintain dashboards, documentation, and reporting using Notion
  • Drive continuous operational improvements across departments

Success in the First 90 Days

  • Successfully establish a functioning PMO
  • Standardize project execution processes
  • Improve project visibility and reporting
  • Implement consistent budget tracking and financial reporting
  • Establish structured workflows for facilities and legal administration
  • Reduce delays caused by cross-functional coordination
  • Improve accountability through documented processes and reporting dashboards

Requirements:

  • 5+ years of experience in Operations Management, Program Management, PMO Leadership, or a similar role
  • Proven experience managing Project Managers or Project Leads
  • Experience implementing operational controls and governance processes
  • Strong understanding of project planning, resource management, risk management, stakeholder communication, and escalation management
  • Excellent written communication and documentation skills
  • Strong organizational and leadership abilities
  • Ability to translate complex or ambiguous work into structured plans with clear ownership and timelines
  • Experience working in a Notion-based environment or willingness to adopt it

Preferred Qualifications:

  • Experience building or scaling a PMO
  • Experience creating SOPs and operational playbooks
  • Background in manufacturing, logistics, production, or hardware environments
  • Experience leading distributed or remote teams
  • Comfortable working asynchronously across multiple time zones

Performance metrics will be established during the first 30–60 days and may include:

  • Facilities issue resolution time
  • Legal workflow turnaround time
