Job Overview
We are seeking a highly articulate and proactive full-time Medical Administrative Assistant to provide remote support for our growing chiropractic practices across three locations. In this role, you will be the administrative backbone of our patient outreach, handling both inbound patient coordination and proactive lead conversion.
Because you will be managing patient retention, scheduling, and converting marketing leads, excellent English communication skills (both verbal and written) are strictly required. You must be adept at building rapport, handling objections, and confidently steering conversations using established scripting protocols.
Key Responsibilities
1. Inbound Patient Coordination & Retention
- Answer incoming phone calls with a warm, professional demeanor, strictly adhering to scripting protocols designed to minimize cancellations and maximize rescheduling rates.
- Confidently manage scheduling requests; ensure patients adhere to their prescribed treatment plans (e.g., three visits per week) by redirecting them effectively when they attempt to alter schedules.
- Route clinical or complex inquiries appropriately so patient questions regarding therapies and modalities are answered by qualified in-office staff.
2. Administrative Outreach & Recalls
- Proactively manage patient recalls by identifying and contacting patients who do not have future appointments scheduled.
- Conduct confirmation calls for newly scheduled patients to verify appointment details, provide location-specific information, and ensure medical intake documentation is completed prior to arrival.
- Educate and promote office specials, promotions, and wellness services to existing patients during administrative outreach calls.
3. Lead Conversion & Leadership Support
- Monitor and manage the practice’s Facebook marketing lead portal.
- Follow up promptly with new marketing leads, utilizing persuasive communication to convert inquiries into scheduled patient appointments.
- Maintain direct, daily communication with the practice leadership team regarding task completion, lead status, and schedule optimization.
Job Requirements
Language & Communication Skills
- Excellent English Communication Skills: Flawless verbal and written English is mandatory. You must be able to speak clearly, confidently, and empathetically over the phone.
- Persuasive Scripting: Proven ability to follow specific medical scripting protocols while maintaining a natural, conversational, and professional tone.
Experience & Technical Skills
- Healthcare Experience: Minimum 1–2 years of experience as a medical administrative assistant, receptionist, or patient coordinator (chiropractic setting preferred).
- Patient Relations: Strong background in patient care, customer service, or healthcare intake.
- Tech-Savvy: Proficiency with remote phone systems (Ooma or similar VoIP platforms), Electronic Health Records (EHR)/practice management software, and lead tracking portals.
- Medical Terminology: Familiarity with chiropractic terminology, treatments, and modalities is highly preferred.
