Client Scheduling Coordinator

Job Overview

Our client is seeking a highly organized and customer-focused Client Scheduling Coordinator to manage workforce scheduling, client communications, and service coordination activities. This role requires someone who can effectively balance administrative scheduling responsibilities with proactive customer service and sales-oriented relationship management. The ideal candidate is confident in leading client conversations, possesses strong relationship-building skills, and can adaptively manage operational scheduling conflicts while maintaining exceptional client satisfaction.

Schedule

Monday - Friday, 8:00 AM - 5:00 PM Melbourne Time, plus 2 hours on Saturday and 2 hours on Sunday (44 work hours per week)

Responsibilities

  • Coordinate and maintain daily staff schedules, workforce allocations, and optimal client shift coverage.
  • Manage high-volume schedule changes, cancellations, and urgent real-time staffing requirements.
  • Serve as the primary point of contact for clients regarding scheduling adjustments and service inquiries.
  • Build and nurture long-term client relationships to enhance engagement, retention, and business satisfaction.
  • Confidently discuss comprehensive service offerings to help convert standard inquiries into active service engagements.
  • Maintain accurate scheduling records, workforce utilization reports, and client updates within the CRM system.
  • Quickly resolve operational conflicts and prioritize urgent client requests while maintaining service continuity.

Requirements

  • Previous professional experience in Scheduling, Workforce Coordination, Customer Care, or Sales Support.
  • Strong experience managing high-volume, phone-based business communications and active email queues simultaneously.
  • Professional written and spoken English communication skills with clear diction and a professional phone manner.
  • High level of comfort handling client conversations, overcoming objections, and building immediate rapport.
  • Advanced organizational and time-management skills to coordinate competing priorities in fast-paced environments.
  • Strong problem-solving and decision-making abilities with sound judgment under operational pressure.
  • Proficiency with CRM platforms, digital scheduling software, and Microsoft Office or Google Workspace.
