Sales Coordinator (Endoscopy)

Job Overview

The Sales Coordinator (Endoscopy) supports the endoscopy sales lead by building and supporting the endoscopy pipeline and owning the sales administration behind it. The company launched its endoscopy range this year and is building the book in new territory, so the role generates and develops new business as well as servicing it, freeing the sales lead to spend more time in front of customers and converting pipeline.

This is not a passive administration or customer service role. The successful candidate has genuine sales and business development experience, is proactive and commercially aware, and is confident making outbound contact with new sites, booking meetings, and following up customers, internal staff and the sales lead to keep work moving. The customer relationship and the close stay with the sales lead; this role builds and supports the pipeline behind them.

Our client is looking for someone who is not just task-based. They are proactive, commercially aware, confident prospecting and booking new business, and comfortable taking responsibility for building and progressing a sales pipeline.

Schedule: Monday - Friday, 7:00 AM - 3:00 PM Brisbane, with 30 mins unpaid break (37.5 work hours per week)

Responsibilities

  • Business Development and Prospecting
    • Research and map new endoscopy sites and decision makers in the assigned territory, and build the target list.
    • Make outbound calls to introduce the range and book the first meeting, working to an agreed weekly activity level.
    • Qualify inbound and event leads against the agreed checklist, and progress or escalate them.
    • Keep clear records of outreach, conversations and next steps in the CRM.
  • Quoting and Tender Administration
    • Prepare and coordinate standard quotes as directed, and support complex quotes and tender submissions with strong attention to detail.
    • Check pricing, part numbers, customer details, terms and supporting documents before submission.
    • Track all open quotes and tenders, follow them up within agreed timeframes and record outcomes.
    • Manage the recurring consumables reorder cycle, and ensure no quote is left without a logged next step; escalate anything needing technical input, pricing approval or a commercial decision.
  • CRM, Catalogue and Pipeline Administration
    • Maintain accurate CRM records: customer details, opportunity stage, next actions, close dates and quote notes.
    • Build and maintain the endoscopy catalogues and pricing in Odoo, and keep data clean so reports run without chasing.
    • Identify stale opportunities and prompt timely action to keep the pipeline moving.
  • Calendar Management and Visit Scheduling
    • Manage the sales lead's calendar in line with customer-coverage expectations.
    • Schedule regular visits with key sites and approved prospect visits, planning the upcoming fortnight in advance where possible.
    • Where a site involves more than one product line, schedule the relevant representative to attend alongside.
    • Monitor appointments, reminders, follow-ups and rescheduling so selling time is protected rather than displaced by administration.
  • Demand Generation and Awareness
    • Organise and support online demonstrations and webinars to an agreed cadence.
    • Produce training material and draft digital campaign content to a brief.
    • Help build awareness of the range as it establishes in market.
  • Reporting
    • Prepare accurate weekly pipeline and activity reports and deliver them on schedule.
    • Provide reporting data to the sales lead and Executive team as required.
    • Capture meeting notes, record actions, allocate tasks and follow up outstanding items.

Requirements

  • Genuine B2B sales or business development experience, including outbound prospecting and cold calling.
  • Strong attention to detail and follow-up discipline, suited to a healthcare setting where quotes must be correct.
  • Confidence communicating with customers and internal stakeholders, with a professional phone and email manner.
  • Ability to manage competing priorities and meet reporting deadlines.
  • Required Systems Experience: Microsoft Office Suite.
