HR & People Operations Coordinator

Overview

We are seeking an experienced HR & People Operations Coordinator to support a rapidly growing professional services and consulting organization with a globally distributed workforce. This role will focus on employee onboarding, HR systems administration, payroll coordination, compliance tracking, and general people operations support. The ideal candidate is highly organized, process-driven, and experienced in managing HR administration within growing organizations. This is an excellent opportunity to help build and improve HR infrastructure while working closely with leadership on critical operational initiatives.

Schedule

  • Part-Time (20 hours/week)
  • Hours: Monday–Friday, flexible within U.S. Eastern Time business hours. Candidate must provide at least 1 hour of overlap between 6:00 AM–6:00 PM EST for meetings and team collaboration.

Responsibilities

HR Operations & Onboarding

  • Manage end-to-end employee onboarding processes across multiple regions
  • Coordinate background checks, reference checks, drug testing, and pre-employment requirements
  • Prepare and manage employment documentation, including NDAs, non-compete agreements, and onboarding forms
  • Coordinate equipment delivery, account setup, payroll enrollment, and benefits-related documentation
  • Maintain employee records and ensure compliance with internal policies

HR Systems Administration

  • Support the implementation, setup, and ongoing maintenance of HRIS and workforce management systems
  • Maintain employee data accuracy across HR platforms
  • Assist with process automation and workflow improvements
  • Generate HR reports and provide operational insights to leadership

Payroll & Compliance Support

  • Monitor payroll processing and verify payroll accuracy
  • Coordinate with internal stakeholders to resolve payroll discrepancies
  • Maintain compliance documentation and employee records
  • Support audits and reporting requirements as needed

Administrative & Business Operations Support

  • Assist with monthly billing and invoicing administration
  • Support leadership calendar management and scheduling
  • Coordinate documentation related to client engagements and Statements of Work (SOWs)
  • Assist with certification, compliance, and operational paperwork
  • Track projects, deadlines, and operational initiatives

Requirements

  • 3+ years of experience in HR Operations, HR Administration, People Operations, or HR Generalist roles
  • Proven experience managing employee onboarding and HR processes
  • Experience with payroll administration or payroll coordination
  • Experience working with HRIS, workforce management, or human capital management systems
  • Strong organizational skills and attention to detail
  • Excellent written and verbal English communication skills
  • Ability to manage multiple priorities independently
  • Comfortable working in a fast-paced, growing organization
  • High level of professionalism and confidentiality when handling employee and company information

Preferred Qualifications

  • Experience supporting U.S.-based organizations
  • Experience with multi-country or global workforce operations
  • Experience implementing or maintaining HR systems
  • Exposure to payroll processes across multiple regions
  • Experience supporting professional services, consulting, staffing, or project-based organizations
  • Experience with billing, invoicing, or business operations administration
