Inside Sales Support Specialist

Reports To: Sales Operations Manager / Director of Strategic Operations

The Inside Sales Support role is a detail-oriented and organized position designed to free up the sales team’s time for prospecting and relationship-building. This person will handle quoting, order processing (including dropship coordination with the Supply Chain team), and administrative tasks that ensure sales operations run smoothly. The role requires strong knowledge of our core systems (Odoo CRM, Fishbowl Inventory, and the Supply Chain team's platforms) and a proactive approach to supporting both sales reps and customers.
Weekly Schedule: 9:00 AM – 6:00 PM Boise time (with a 1-hour unpaid lunch / 40 hours per week / 8 paid hours per day)
Key Responsibilities
Sales Administration & Quoting:
- Create accurate and timely sales quotes in Odoo based on customer requests and sales rep direction.
- Maintain pricing accuracy, product information, and quote templates for consistency.
- Track quote status, follow up on outstanding quotes, and update sales reps on progress.
Order Processing & Supply Chain Coordination:
- Process dropshipping orders when sales come in through partnership channels, ensuring accuracy in Fishbowl Inventory and Odoo.
- Communicate with the Supply Chain team to confirm product availability, shipping details, and order fulfillment timelines.
- Resolve order issues (backorders, shipment errors, missing information) in collaboration with the Supply Chain team and the sales team.
- Maintain accurate records of orders, invoices, and shipping confirmations.
Sales Team Support & Lead Management:
- Prospect and qualify marketing-generated leads.
- Conduct lead outreach and management in the Odoo CRM.
- Manage administrative tasks such as organizing sales documents, logging communications in Odoo, and keeping records current.
- Act as a point of contact for the Supply Chain team and customers regarding order status, quotes, and related inquiries.
- Provide reports to the sales team on order activity, quote-to-order conversion, and the Supply Chain team's performance.
- Support special projects to improve sales workflows, efficiency, and customer experience.
Requirements
- Proven experience in a sales support, customer service, lead outreach, or administrative role.
- Proficiency in Odoo CRM and Fishbowl Inventory.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Excellent communication and interpersonal skills, comfortable working with the Supply Chain team and customers.
- Detail-oriented with a high degree of accuracy in order processing, lead tracking, and data entry.
- Integrity and discretion when handling customer and company information.
Preferred (but not required):
- Experience with Shopify or similar e-commerce platforms.
- Experience in quoting, order management, lead qualification, or inside sales support within an education or product-based company.
- Familiarity with Google Workspace for collaboration and reporting.
