Property Maintenance Administrator

Overview

We are seeking an organized and proactive Maintenance Coordinator to manage tenant repair requests, coordinate contractors, and ensure efficient property maintenance operations. In this role, you will act as the vital link between landlords, tenants, and contractors to deliver exceptional customer service and swift problem resolution. Join our team to leverage your problem-solving skills in a dynamic, supportive, and fully remote work environment.

Schedule

  • Monday to Friday, 9:00am – 5:30pm, with occasional flexibility to assist with urgent maintenance matters.

Responsibilities

  • Receive and process maintenance requests from tenants via telephone, email and property management software.
  • Assess reported issues and determine appropriate courses of action.
  • Liaise with landlords to obtain instructions and approval for works where required.
  • Arrange and coordinate contractor appointments, ensuring access is organised and appointments are confirmed.
  • Obtain quotations for repair and maintenance works.
  • Monitor ongoing maintenance jobs and ensure works are completed within agreed timescales.
  • Update property management systems with accurate records, notes and invoices.
  • Ensure all maintenance issues are followed through to satisfactory completion.
  • Handle emergency maintenance situations and arrange urgent contractor attendance when required.
  • Liaise with contractors regarding job progress, invoices and compliance documentation.
  • Assist with insurance claims and contractor reports where necessary.
  • Monitor compliance-related maintenance issues and assist with arranging remedial works.
  • Provide excellent customer service to landlords and tenants, resolving queries professionally and efficiently.
  • Support the wider Property Management team with administrative duties as required.

Requirements

Skills & Experience Essential:

  • Excellent organisational and administrative skills.
  • Strong communication skills, both written and verbal.
  • Ability to manage multiple tasks and prioritise workload effectively.
  • Good attention to detail.
  • Confident using Microsoft Office and property management software.
  • Ability to remain calm and professional under pressure.
  • Customer service experience.

Desirable:

  • Previous experience within property management, lettings, maintenance coordination or estate agency.
  • Knowledge of residential property maintenance and repair processes.
  • Understanding of landlord and tenant legislation.
