Administrative and Accounting Assistant (Construction & Manufacturing)

Overview

We are seeking a highly organized and proactive Administrative & Executive Assistant to support a growing business with day-to-day administrative, executive, and back-office operations. This role is ideal for someone who thrives in a fast-paced environment, enjoys keeping processes organized, and can confidently support leadership with administrative, financial, and executive tasks. The successful candidate will become a trusted member of the team, ensuring operations run efficiently while maintaining professionalism and confidentiality.

Schedule:
Central Time Zone (Oklahoma)
Full-time (40 hours/week)
Monday – Friday, 8:00 AM – 5:00 PM

Responsibilities

  • Manage executive calendars, appointments, and scheduling
  • Coordinate internal and external communications via email and phone
  • Process accounts payable, payroll support, and other administrative finance tasks
  • Perform accurate data entry and maintain records across company systems
  • Assist with executive and business-related administrative tasks
  • Maintain organized digital files, documents, and shared folders
  • Support the Office Manager with daily administrative operations
  • Prepare reports, spreadsheets, and business documents as needed
  • Track action items, deadlines, and follow-ups for leadership
  • Handle confidential business and financial information with discretion

Requirements

  • Minimum 2 years of administrative or executive assistant experience
  • Previous experience supporting business owners or senior leadership
  • Strong organizational, multitasking, and time-management skills
  • Excellent written and verbal English communication skills
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and other standard office applications
  • High attention to detail and accuracy in data entry
  • Experience handling accounts payable, payroll support, or financial administrative tasks
  • Ability to work independently while managing multiple priorities
  • Professional, reliable, and highly confidential when handling sensitive information

Preferred Qualifications

  • Experience supporting construction, manufacturing, or trade-based businesses
  • Familiarity with cloud-based file management systems (Dropbox, OneDrive, or Google Drive)
  • Experience with QuickBooks or similar accounting software
  • Comfortable working with remote teams and digital collaboration tools

Scope

  • Provide full-time remote administrative and executive support during Central Time business hours
  • Support leadership with daily operational, financial, and administrative tasks
  • Maintain organized records and ensure accurate documentation
  • Integrate seamlessly into existing workflows and internal processes
