You’ll be the backbone of contract management operations, ensuring every homeowner’s journey from contract signing to closing is seamless. This role places you at the center of real estate transactions, where your attention to detail directly supports families achieving their homeownership dreams. You’ll work with modern platforms and collaborate with developers while building expertise in contract management and customer relationship excellence.
Schedule
- Mon–Fri, 8:30 AM – 5:00 PM (Vancouver time) includes a 30-minute unpaid break; 40 Weekly Hours
Responsibilities
- Conduct comprehensive contract audits at three critical stages: 7 days post-offer, one year out, and pre-completion
- Manage homeowner communications throughout the contract lifecycle, ensuring clarity and satisfaction
- Coordinate between homeowners and developers to ensure closing readiness and smooth transitions
- Process assignment paperwork, including document collection, review, and signing coordination
- Maintain contract accuracy in the Avesto platform and ensure backend data aligns with reporting requirements
- Strong attention to detail and accuracy.
- Minimum 2–5 years of experience using HubSpot and similar CRM or project management platforms.
- Ability to independently manage tasks from initiation through completion.
- Strong work ethic and self-motivation, with the ability to proactively identify and take on work without constant direction.
- Excellent customer service and customer care experience.
- Strong written and verbal English communication skills.
- Ability to quickly learn and retain project-specific knowledge.
- Proven organizational and time-management skills in a fast-paced environment.
- Handle customer care inquiries with professionalism and real estate expertise
- Update and reconcile contract records to support accurate reporting and compliance
- Support backlogged workloads requiring strong organizational skills and immediate attention
Requirements
- 2–5 years of experience in customer service, contract management, or real estate administration
- Extensive experience with HubSpot from a sales analysis, data entry, and workflow management perspective a must
- Strong attention to detail, particularly for contract auditing and document review
- Excellent written and verbal communication skills for homeowner interactions
- Ability to work proactively with minimal supervision and strong analytical judgment
- Experience with CRM platforms and document management systems
- Familiarity with contract terminology and legal documentation processes is preferred
